Job Responsibilities
Event Planning & Documentation Support
Contact clients and participate in planning/coordination meetings as assigned to understand, clarify, and document event needs and technical requirements (e.g., electrical provisions, rigging points, audio-visual services, event flow, and event floor plan). Prepare and update event technical documentation such as service orders, technical riders, run-downs, equipment lists, floor plans/drawings (where applicable), and cost estimates for internal review and customer confirmation. Maintain accurate, up-to-date event information in relevant systems and trackers, ensuring version control and timely communication to internal stakeholders.
Scheduling, Resource & Logistics Coordination
Support team scheduling and deployment coordination by consolidating event requirements, manpower needs, and set-up/tear-down timelines for review by the Planning & Production leadership team.
Coordinate equipment requests, rentals, and logistics arrangements with internal teams and approved vendors to meet operational timelines.
On-Site Event Delivery Support
Attend production meetings, site recce sessions, and event rehearsals as assigned; capture actions and translate requirements into updated documentation and work instructions.
Provide on-site coordination support with in-house teams and vendors during event load-in, live operations, and load-out to ensure services are delivered in accordance with approved orders and service standards.
Operational & Vendor Liaison
Liaise with internal departments (e.g., Event Planning, Operations, Security, Facilities) to align event readiness and resolve operational requirements or constraints.
Coordinate with external contractors/service providers on delivery timing, access, and scope of work under supervision; escalate issues and risks promptly.
Cost Tracking & Administrative Control
Support monitoring of event-related costs (e.g., casual labour, external services, equipment rentals) and maintain supporting records for reconciliation and reporting.
Assist in raising required internal requests and documentation (e.g., rental requests, purchase/service requisitions where applicable) in line with department processes.
Safety, Compliance & Standards
Follow established safety procedures and operational guidelines during planning and on-site execution; report hazards, incidents, or non-compliances immediately.
Support the collection and filing of event documentation required for audits, accreditation, and compliance (e.g., permits, method statements, risk assessments) as directed.
Continuous Improvement & Team Support
Participate in post-event debriefs and support the capture of learnings, feedback, and improvement actions.
Perform other duties as assigned to support departmental and operational objectives.
Job Requirements
Education & Certification
NITEC / Higher NITEC or Diploma in Audio Visual, Electronics/Electrical Engineering, Event Production, Event Management, Media Production, or related disciplines is preferred.
Relevant local polytechnic diplomas may include:
Singapore Polytechnic (SP) – Diploma in Integrated Events & Project Management
Republic Polytechnic (RP) – Diploma in Events & Project Management
Republic Polytechnic (RP) – Diploma in Arts & Entertainment Production Management
Singapore Polytechnic (SP) – Diploma in Media, Arts & Design (Sound & Music)
Ngee Ann Polytechnic (NP) – Diploma in Film, Sound & Video
Experience
Minimum 3 years of experience in AV production, event technical services, or live event operations (MICE experience is an advantage).
Exposure to event planning documentation, on-site coordination, and working with vendors/contractors.
Basic proficiency in AV-related software and/or CAD drawings is an advantage.
Other Prerequisites
Working knowledge of media production and content tools (e.g., Adobe Creative Suite such as Photoshop, Premiere Pro/other video editing tools; basic image/video file formats and workflows) is an advantage.
Able to work in loud environments and in operational/back-of-house areas.
Able to work at height where required and in accordance with safety procedures.
Able to work shifts and extended hours, including weekends and public holidays, based on event requirements.
Competent in basic PC applications (Windows/Mac) and comfortable working with event documentation and scheduling tools.
Strong teamwork, communication, and coordination skills with the ability to follow through on details.
Able to work independently on assigned tasks and escalate risks/issues appropriately.
