Description
Dragonfly Counselling & Support Centre (DCSC) is a charity organization committed to creating a region free from sexual violence. We do this by providing specialized intervention, counselling and preventative education to individuals, families, and communities in North Central East Alberta.
DCSC is looking for an Executive Assistant to provide high-level strategic, administrative, and operational support to the Management team. This role requires a proactive, highly organized professional with exceptional judgment, discretion, and situational awareness to streamline communications, and maintain seamless organizational flow.
Key Responsibilities

Manage Management teams calendars, triage incoming communications, and draft professional correspondence to maintain smooth workflow.

Prepare briefing materials, reports, and branded presentations for Management meetings.

Coordinate logistics for meetings with board members, funders, donors, and government stakeholders.

Assist with strategic initiatives and executive projects by managing timelines and deliverables.

Process expense reports, upload receipts, and maintain financial tracking sheets.

Organize complex travel logistics and review employee travel/accommodation requests for policy compliance.

Research grant opportunities, assist with application submissions, and track funding deadlines and deliverables.

Maintain official board packages, meeting minutes, corporate filings, and confidential records for governance compliance.

Standardize cross-departmental reporting templates and keep internal digital systems up to date and audit-ready.
Qualifications
-
Proven experience supporting executive leadership, managing complex schedules, and handling confidential information.
- Excellent written and verbal communication skills, with a proven track record of maintaining strict confidentiality.

Proficiency with calendar systems, spreadsheets, grant tracking, and digital document management.

Strong attention to detail, proactive problem-solving skills, and the ability to manage competing priorities with minimal supervision.
- Criminal Record check, Child Intervention Record check, valid Alberta Driver’s License and access to a reliable vehicle.
