Job Summary

Responsible for managing all aspects of a program and corresponding projects. Implements initiatives that support alignment with organizational goals and strategic planning. Leads the communication and collaboration with stakeholders. Develops the program schedule, budget, and various program and project plan details. Analyzes data, prepares reports, and provides regular updates to program leadership. Identifies and escalates issues and risks and recommends solutions. Leads and provides guidance and support to other administrative team members.

Essential Functions
-Leads program and project teams and coordinates and delegates cross-project initiatives.
-Conducts research, manages and analyzes data in systems, and develops reports and presentations to support programs.
-Identify potential risks, issues, and challenges associated with programs and develop mitigation strategies to minimize impact.
-Monitor program progress and proactively address deviations from plans, timelines, or budgets.
-Manages the program budget, ensuring responsible allocation of resources and adherence to financial guidelines.

The Massachusetts General Hospital Center for Optimal Aging and Serious Illness (CASI) Research is seeking a highly organized and motivated Program Manager (PM) to lead the day-to-day operations of multiple research center programs and operational priorities.  This individual will play a critical role in ensuring successful execution of multiple small to medium-scale research and education related program and initiatives.

Ideal candidates must be self-starters who are highly motivated, exceptionally organized, and able to take ownership of complex work with limited supervision. They should demonstrate excellent interpersonal skills, strong attention to detail, the ability to manage multiple competing priorities and deadlines, and a clear track record of driving projects forward to successful outcomes.

Candidate requirements:

  • Candidates with prior research or education-related program/project management experience are required.
  • Candidates with strong interpersonal skills and marketing/written and verbal communication skills are required.

Key Responsibilities:

Center Operations

  • Build and maintain program management systems for task tracking, documentation, and communication, with guidance from Center Manager and Center Director.
  • Develop streamlined processes for ongoing Center operation and strategic initiatives.
  • Track implementation facilitators, barriers, and lessons learned to support continuous improvement and high-quality execution.

Program/Project(s) Oversight & Implementation

  • Drive overall program/projects management, including timelines, budgets, milestones, and deliverables, data capture, monitoring, tracking and reporting with a strong commitment to excellence and accountability.
  • Coordinate site engagement across multiple health systems and clinical practices, proactively anticipating needs and removing barriers.
  • Lead team and stakeholder coordination.
  • Facilitate clear, timely communication across multidisciplinary teams, including center/program leadership, collaborating investigators, physician, and clinicians, program champions, community partners, and stakeholders.
  • Support community outreach program and events, professional development events, program team meetings, and stakeholder engagement activities with careful preparation and follow-through.
  • Partner closely with Center Directors and Senior Administrative Managers to ensure high-quality, on-time deliverables for clinical sites and funders.

    Reporting & Communication

    • Draft and coordinate Center impact reports, program progress reports, program deliverables and/or presentations that meet a high standard for accuracy and professionalism.
    • Advance dissemination efforts, including Center website, social media accounts, and public-facing materials such as written or interactive presentations for impact reporting and philanthropic fundraising,

    Preferred Qualifications:

    • Hold a Master’s Degree in Health-related field such as Public Health, Healthcare Administration Health Communication, Health Services Research, or a related field.
    • Bring 2-5 years of relevant experience managing medium-scale projects.
    • Demonstrate the ability to manage multiple projects, balance competing priorities, and consistently go above and beyond to deliver excellent results.
    • Communicate with exceptional organization, clarity, professionalism, and interpersonal skill.
    • Candidates with Spanish language fluency (written and/or spoken) are strongly encouraged to apply.  

    Preferred Experience:

    • Apply experience with healthcare studies, education initiatives, and research or evaluation methods.
    • Engage multiple stakeholder advisory and/or interest groups with professionalism, responsiveness, and follow-through.
    • Use communication and marketing tools such as Canva, Adobe InDesign, Constant Contact, and Microsoft Exchange Distribution Lists.
    • Use project and/or research management tools, including Airtable, REDCap, Smartsheets, Zoom, and Microsoft Teams.
    • Use (or be willing to learn) website design tools such as WordPress Engine, Wix, or equivalent.
