Administrative Support – Audit
Location: St. Paul, AB
Position Type: Full-Time, Permanent
Hours: Monday – Friday, 8:00 AM – 4:00 PM
Position Overview
Xtreme Oilfield Technology is looking for a dedicated Auditing Clerk to join their team in a dynamic and fast-paced environment. The Auditing Clerk must be able to work and maintain strict compliance with corporate/office policies and procedures, established health and safety protocols, and all applicable local, provincial, and federal regulations. The Auditing Clerk must be able to function efficiently in a fast-paced, detail-oriented environment and possess great communication skills.
Key Responsibilities

Pick up daily truck tickets from the St. Paul Shop.

Deliver interoffice mail from the audit bin to the appropriate individuals or departments.

Receive and track courier shipments of tickets from the Bonnyville office.

Track and ensure the weekly arrival of tickets from Wabasca and Conklin locations.

Sort, GPS track, and organize incoming field tickets.

Compare and approve timesheets against tickets using the Xtreme App.
-
Cross-reference tickets against dispatch sheets to ensure all completed jobs are accounted for.

Sort verified tickets for data entry processing.

Write tickets as needed and submit them for proper approval.

Prepare and track Labour, Equipment, and Materials (LEMs) for specific customers and projects.

Generate and distribute various reports to customers as required.

Handle incoming calls regarding missing tickets or ticket clarifications, sharing authorized information as appropriate.

Submit tickets for external approval and track them to ensure timely return.

Contact employees directly regarding discrepancies on timesheets or field tickets.

Follow up with staff regarding late submissions of timesheets and tickets.

Pull invoices upon payment receipt and transfer files to the completed A/R file room.

Maintain monthly filing of ticket copies in the A/R room organized by Unit number.

Assist with various administrative reports related to tickets and timesheets.

Provide backup support to the broader Administrative Support team as workload permits.

Perform other related duties as assigned.
Qualifications & Requirements

Minimum Grade 12 diploma or equivalent.

Valid Driver’s License.

Strong proficiency in Microsoft Office, with advanced knowledge of Microsoft Excel.

Exceptional attention to detail and strong organizational skills.

Strong verbal and written communication abilities.

Proven ability to perform well under pressure and consistently meet tight deadlines.

Ability to work effectively both independently and as part of a collaborative team.
