To further strengthen our leading Swiss mortgage franchise, we are looking for a proactive and results-driven Operational Excellence Officer to join our newly established COO Real Estate Team. This pivotal role offers the opportunity to shape the future of our national mortgage operations, drive process improvements, and deliver high-quality services across the entire mortgage lifecycle.

Your Role – Driving Efficiency, Quality & Innovation
As a key member of the Real Estate operations unit, you will ensure the smooth and compliant administration of Julius Baer’s Swiss mortgage portfolio from origination to maturity. Combining precision with strategic thinking, you’ll manage critical operational workflows, uphold rigorous control standards, and provide actionable insights that empower informed decision-making across the organisation. You will balance hands-on execution with forward-looking contributions to transformational initiatives — helping us raise the bar in operational resilience, digitisation, and client service excellence.

YOUR CHALLENGE

End-to-End Mortgage Operations & Lifecycle Management

  • Oversee the complete administrative journey of mortgage facilities — from initial booking and amendments to renewal, early repayment, and final settlement.
  • Execute transactional activities with accuracy and timeliness, including new loans, modifications, refinancing, and system updates.
  • Ensure consistent data integrity across core banking and real estate systems, serving as a trusted source of truth.
  • Collaborate closely with Front Office, Mortgage Advisory, Credit Risk, Legal, and external partners to guarantee seamless client experiences and operational agility.

Controls, Compliance & Process Integrity

  • Conduct daily operational checks, reconciliations, and exception monitoring to safeguard data accuracy and process reliability.
  • Support adherence to internal policies and evolving regulatory requirements (including FINMA oversight, SNB initiatives).
  • Proactively identify, escalate, and resolve operational risks and pending items to maintain audit readiness.
  • Contribute to refining SOPs, control frameworks, and risk mitigation measures.

Strategic Initiatives & Business Transformation

  • Act as an operational partner in cross-functional projects focused on automation, digitalisation, and customer journey enhancement.
  • Identify inefficiencies and co-design scalable solutions that elevate both productivity and service quality.
  • Assist in shaping future-state processes, technology integrations, and change management rollouts.

YOUR PROFILE

  • Completed tertiary education — either a university Bachelor’s degree or a commercial qualification (EFZ) with relevant further training
  • 3–5 years of solid experience in Swiss mortgage operations or loan administration, ideally within private banking or retail financial institutions
  • In-depth knowledge of the Swiss mortgage lifecycle, product types, collateral handling, and related operational workflows
  • Demonstrated experience in data management, reporting, and operational controls — familiarity with regulatory expectations is a distinct advantage
  • Strong analytical abilities and a natural interest in process optimisation, whether in daily tasks or large-scale transformations
  • Enjoys project-based work; self-motivated to take initiative and see efforts through to successful completion
  • Comfortable operating autonomously while building effective relationships across departments and hierarchies
  • Fluent in German and English (written and spoken); proficiency in French or Italian is a significant asset
  • Advanced user of Microsoft Office Suite (Excel, PowerPoint); prior experience with core banking platforms or CRM/loan systems is beneficial
