The Role:
This role sits directly with one of Petra's clients, an established alternative investment manager with a long-standing real estate investment platform. The firm takes a fundamental, value-oriented approach to investing and operates across real estate debt and equity strategies, including complex joint ventures, closed-end and open-end funds, and opportunistic investments.
The Investor Services Analyst will support the operational and analytical functions behind the firm's investor relationships, with a particular focus on investor capital activity, shadow accounting, reporting, and data integrity. This role works closely with Investor Relations, Fund Accounting, Compliance, Legal, Tax, and Technology and is well suited for someone who enjoys working with numbers, managing high volumes of activity, and finding better ways to improve processes through technology and automation.
Responsibilities:
Investor Capital Activity & Shadow Accounting
- Shadow third-party fund administrators to ensure investor data and capital activity are recorded accurately and on time across the investment platform.
- Process subscriptions, redemptions, transfers, exchanges, distributions, and capital calls within the firm's investor relationship management system.
- Review subscription, redemption, and transfer documentation for completeness and investor eligibility across applicable funds and share classes.
- Partner with Fund Accounting to reconcile investor services and accounting data and research discrepancies.
- Track subscription and capital call funding and prepare related reporting for internal stakeholders.
- Review investor statements, including management fees, incentive fees, and profit and loss activity, and coordinate approval and timely release.
- Partner across Investor Services, Fund Accounting, and other internal teams to facilitate capital calls, distributions, and other fund activity.
- Develop a detailed understanding of open-end, closed-end, and real estate fund structures and their operational requirements.
Reporting & Analysis
- Prepare analysis of investor capital activity across multiple investment strategies and fund structures.
- Analyze time-sensitive requests from senior management related to historical and anticipated capital activity.
- Prepare custom and ad hoc reporting for senior management, Legal, Compliance, and other internal stakeholders, including ERISA levels, investor domicile, and Blue Sky reporting.
- Prepare monthly and ad hoc reporting for external investment platforms, including fee rebates and capital call and distribution reporting.
- Use Salesforce to analyze investor data and help standardize and improve reporting across the platform.
- Partner with Technology to enhance reporting capabilities and improve the recording and management of investor transactions.
Process Improvement & Cross-Functional Support
- Identify opportunities to automate and streamline Investor Services processes through AI tools, Excel automation, technology enhancements, and administrator-side improvements.
- Support cross-functional initiatives with Tax, Compliance, Fund Accounting, and other teams on investor operations matters.
- Provide Investor Services support during periods of increased activity, including fund launches, fund closes, and quarter-end.
- Take increasing ownership of operational projects and cross-functional initiatives as experience within the role grows.
- Help strengthen processes and controls as the Investor Services function and broader investment platform continue to scale.
Qualifications:
- 2–4 years of experience in fund operations, fund accounting, investor services, or a related function within an asset manager or fund administrator.
- Bachelor's degree in finance, Accounting, or a related field strongly preferred.
- Accounting fluency, including an understanding of fee structures, capital activity, and reconciliations.
- Advanced Excel skills, including complex formulas, pivot tables, and manipulation of large data sets.
- Comfortable learning and adopting new technology, including AI tools, to improve efficiency, accuracy, and speed.
- High attention to detail with a problem-solving mindset and the ability to research and resolve discrepancies.
- Proactive and self-directed, with the ability to manage high volumes of activity and competing deadlines.
- Clear written and verbal communication skills with the ability to collaborate across multiple functional teams.
- Understanding of AML, FATCA, and CRS regulations is a plus.
- Salesforce experience is a plus.
- Experience working with third-party fund administrators or fund administration platforms is a plus
Salary Range
At Petra Funds Group, we are committed to transparency and equity in our hiring practices. The compensation range for this position is $90,000 - $140,000 per year. This range represents the base salary only. Actual pay will depend on factors such as qualifications, experience, and skills.
