What you'll be doing

The goal of CIBC's Capital Markets business is to be the premier client-focused wholesale bank based in Canada. To deliver on this, the Capital Markets arm of CIBC provides a wide range of credit, capital markets, investment banking, and research products and services to government, institutional, corporate and retail clients in Canada and in key markets around the world.

The primary mandate of this role is to lead, coach, and develop a team of approximately 15 Executive Assistants supporting Managing Directors and their teams across the Global Corporate & Investment Banking (GC&IB) business units. You will build team capability, strengthen employee engagement and accountability, and ensure the team delivers consistent, high-quality support across a high-performing, fast-paced Capital Markets environment.

As a people leader and key operational partner, you will set clear expectations, manage performance and capacity, develop talent, and foster a collaborative and inclusive team culture. The role also includes direct executive support responsibilities, which complement the primary focus on people leadership and administrative service delivery. Reporting to the Director & Head of Business Administration - Capital Markets, you will be a trusted partner to senior leadership and a role model for the broader administrative community.

How you'll succeed

  • Lead, Coach & Develop the GC&IB Administrative Team – Provide direct people leadership and effective management for a team of approximately 15 executive assistants, establishing clear expectations and strengthening employee commitment, accountability, and performance. Create a positive work environment and serve as an effective role model by championing CIBC's mission, vision, and values. Ensure compliance with policies, standards, guidelines, and controls by applying them fairly and consistently. Lead recruitment, onboarding, and role alignment to ensure the team has the right capabilities and capacity to meet current and evolving business needs. Manage performance through regular coaching, timely and balanced feedback, clear development objectives, and formal performance discussions. Build individual and team capability through ongoing coaching, mentoring, knowledge-sharing, cross-training, and targeted development opportunities. Identify employee strengths, career interests, and development needs; create meaningful growth opportunities and support succession and talent planning for the administrative team. Foster an inclusive, collaborative, and high-performing team culture where employees feel supported, connected, and empowered to contribute ideas and improve how the team works. Plan and manage team coverage, workload, and capacity to ensure seamless administrative support for executives, while creating equitable opportunities for employees to broaden their experience and capabilities. Collaborate with executive assistants and team leaders across the broader Capital Markets team, identifying, establishing, and promoting best practices.

  • Organize GC&IB Administrative Teams & Processes Create efficiencies by streamlining and implementing standardized administrative processes across departments. Oversee compliance with processes and procedures; ensure standardized tasks - including employee onboarding/offboarding, organization charts, client invoicing, and expense reports are completed correctly and on time. Promote continuous improvement in administrative processes; diagnose problems and propose effective solutions. Assist with the logistical coordination of Interns, Co-Ops, and Graduate Rotation Programs, including workstation assignments, schedules, desk setup, onboarding/offboarding, and transfers. Review and approve supply requisitions, invoices, and expense reports; ensure compliance with the Spend Authorization Policy, Travel Policy, and all relevant internal controls. Support other administrative activities as assigned, including but not limited to presentation assistance and event coordination.

  • Business Process & Operations SupportAssist the Capital Markets Premises Team with larger re-stack projects impacting the GC&IB floors. Provide Corporate Visa Card assistance, including temporary and permanent limit changes, new applications, MCC restrictions, and delinquency reporting. Serve as the subject matter expert in business unit and enterprise policies and procedures. Provide general support to various business partners including HR, Technology, other Capital Markets departments, and regional offices. Assist, as required, with ad hoc operational processes and projects under the direction of the Head of Business Administration.

  • Provide High-Impact Executive Support – Alongside the primary people leadership mandate, provide high-impact executive support using independent judgment, discretion, and diplomacy. Anticipate needs and initiate appropriate action to ensure the most effective use of executives' time and attention. Screen requests and manage several complex calendars; proactively identify issues, determine priorities for Managing Directors and their teams, and pivot accordingly. Serve as the primary point of contact for all calendar appointments, ensuring meetings are scheduled with urgency and prioritized appropriately. This includes ownership of several large meetings and associated logistics - room bookings, site access arrangements, technology coordination, and catering requirements. Coordinate and arrange all travel requirements, including airline reservations, hotel accommodations, and airport transfers; monitor for last-minute changes while ensuring policy adherence. Process expense reports for executives in the group, ensuring charges are within policy, follow guidelines, and are submitted in a timely manner; provide guidance to the team as needed. Perform general administrative tasks including processing invoices, mail distribution, arranging couriers, maintaining floor telephone lists, and managing general administration files. Maintain department organizational charts, distribution lists, and vacation schedules. Manage onboarding and offboarding for new and departing staff, including coordination of technology access, office setup, and building access; order business cards, corporate phones, and corporate credit cards as required; ensure all compliance requirements and internal policies are met.

Who you are

  • You can demonstrate experience. Minimum of 7 years' experience in administrative or professional support within a complex, fast-paced environment, including demonstrated people leadership experience managing, coaching, and developing employees. Experience leading a sizeable administrative team and balancing leadership accountabilities with senior executive support is preferred. You bring excellent technical skills in Microsoft Word, PowerPoint, Excel, and Outlook. Strong working knowledge of CIBC's organizational structure, considered a valuable asset.

  • You have a degree/diploma. Post-secondary education in a related field is preferred.
