Position Title: State Investments and Banking Outreach Assistant
Division: State Investments and Banking
Classification: Exempt
Domicile: Chicago
Salary: $65,000- $75,000
Position Summary:
The State Investments and Banking Outreach Assistant provides administrative, logistical, and program support to the Director and Deputy Director of Outreach. This role assists with outreach coordination, stakeholder communication, data management, event preparation, and general office operations for the State Investments and Banking programs, including Illinois Funds, ePAY, and Invest in Illinois programs. The State Investments and Banking Outreach Assistant ensures smooth execution of outreach activities and serves as a primary support resource for the outreach team. Attendance is an essential function of this position.
Duties and Responsibilities:
- Provide administrative support including scheduling, correspondence, document preparation, and recordkeeping.
- Assist with outreach coordination by preparing materials, tracking contacts, and supporting follow‑up with local governments, state agencies, and financial institutions.
- Maintain stakeholder databases and update CRM systems, such as Salesforce for the ePAY and Illinois Funds programs.
- Support event logistics for conferences, trainings, and presentations for the ePAY and Illinois Funds programs.
- Prepare reports and data summaries for internal use and public dissemination for the ePAY and Illinois Funds programs.
- Assist with marketing execution by coordinating materials, reviewing content, and supporting vendor deliverables for ePAY and Illinois Funds programs.
- Respond to inquiries from program participants and external stakeholders for the ePAY and Illinois Funds programs.
- Support special projects as assigned.
- Assist with procurement, invoice processing, and vendor coordination.
- Maintain organized digital and physical filing systems.
- Support internal training logistics and documentation.
- Perform other duties as assigned.
- Strong organizational and administrative skills.
- Excellent written and verbal communication.
- Ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Office; experience with Salesforce preferred.
- Customer service orientation and professionalism.
