Job Summary
MOR PPM Inc. is seeking an Administrative Assistant in Lakeland, FL. Strong computer/technical skills and experience in office administration preferred.
Essential Duties and Responsibilities: --
- Drafts correspondence for signature according to established policies and procedures.
- Participates in preparing budgets and maintaining budget accounts; plans and maintains an adequate supply of office materials and supplies.
- Maintains appointment schedules, screens and refers callers; provides detailed responses to inquiries about programs and activities; and makes travel arrangements.
- Operates office equipment, computer skills are a must.
- Attends meetings, seminars, and conferences; takes notes and/or furnishes information.
- Prepares agendas, reports, tables, and other complex documents for reproduction and distribution.
- Establishes and maintains official documents and records in appropriate files.
- Coordinates and reviews the work of other clerical support staff.
- Maintains various records on office activities pertaining to personnel, purchasing, travel expenses, contracts, billings, insurance, etc.
- Inputs payroll, maintains all records, and reports requirements for the department pertaining to payroll and personnel functions.
- Assists with preparing purchase requisitions, managing purchase orders, P-Card transactions, and processing invoices for payment.
- Receives visits or calls regarding complaints, which may be resolved or referred to the proper person for resolutionn.
- May perform payroll duties.
- May be required to participate and/or facilitate training to support departmental or City initiatives and requirements.
- Position is designated as Mission Critical.
Qualifications:
- High School Diploma or equivalent
- Five (5) years of experience performing high-level clerical duties in support of a manager or executive.
- Proficient in Business English, mathmatical problem solving, and computer skills.
Physical Requirements/Job Site Requirements:
- Must be able to complete hiring paperwork electronically through DocuSign
- May be required to lift and carry items weighing up to 50 pounds
- Must posses enough strength and stamina to perform the technical duties and essential functions as identified above
- Must be able to move in and around confided spaces and uneven areas
- Must have full range of motion consistent with age
- Must be able to climb and maintain balance ladders
- Must be able to adequately hear and respond to voice commands and alerts from other employees, alarms and other job-related noises
- Visual acuity, depth perception and color discrimination consistent with that required to work at heights and on uneven surfaces
- Safety/Steel toe shoes are required.
