Responsibilities

Position Summary

The Talent Systems Specialist provides day-to-day administration and technical support for talent systems, including the Applicant Tracking System (iCIMS), and develops practical automations and AI-enabled agents that improve service, reduce manual work, and strengthen Talent Acquisition and People Team processes.

Job Responsibilities

System Administration and Support

  • Administer, support, and troubleshoot ATS and other talent systems used by Talent Acquisition and the People Team, including user, candidate, workflow, access, integration, and data issues.
  • Support system configuration, testing, releases, enhancements, and ongoing maintenance to promote reliable and effective system performance.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
  • Performs other duties as assigned.

Automation and AI Enablement

  • Design, build, test, document, deploy, monitor, and maintain workflow automations that reduce repetitive work, improve handoffs, and increase process consistency.
  • Create and configure AI-enabled agents to support approved Talent Acquisition and People Team use cases, including information retrieval, guided support, task assistance, and process enablement.
  • Investigate automation or agent failures, complete repairs, and coordinate escalations when issues require additional technical or vendor support.
  • Apply appropriate human review, access controls, testing, documentation, and change management to support responsible and sustainable use of automation and AI.

Process Improvement and Project Support

  • Partner with stakeholders to map processes, identify improvement opportunities, and translate business needs into system, automation, or agent requirements.
  • Support talent systems projects from requirements gathering and testing through implementation, communication, adoption, and post-launch support.
  • Maintain solution documentation, work instructions, change logs, support records, and standard operating procedures for systems, automations, and agents.

Data, Reporting, and Quality

  • Create and maintain recurring reports, dashboards, metrics, and data-quality checks that support recruiting and People Team decision-making.
  • Research discrepancies, partner with process owners to correct issues, and strengthen data integrity.
  • Use system and process data to identify trends, recurring support needs, and opportunities for additional automation or continuous improvement.

Collaboration, Customer Support, and Adoption

 

  • Serve as a responsive point of contact for talent systems support, training, and adoption needs.
  • Collaborate with Talent Acquisition, People Team partners, Information Technology, Security and Compliance, and external vendors to deliver effective and compliant solutions.
  • Develop user guides, checklists, training materials, and standard operating procedures that promote consistent system use.

Position Specifics

Qualifications

Required
  • High school diploma or equivalent.
  • Previous experience supporting recruiting, human resources, business systems, workflow automation, or a related function.
  • Working knowledge of Microsoft 365 applications and experience learning or supporting enterprise technology platforms.
  • Demonstrated ability to troubleshoot issues, document solutions, manage details, and communicate effectively with technical and non-technical stakeholders.
  • Experience building, testing, or maintaining workflow automations, low-code solutions, or AI-enabled tools.
  • Experience with reporting, dashboards, process mapping, project support, change management, or user training.
  • Ability to speak, read, and write in English.
  • If hired, must be able to demonstrate authorization to work in the U.S.
Preferred
  • Bachelor's degree in Human Resources, Information Systems, Business, Data Analytics, or a related field.
  • Experience with iCIMS or another applicant tracking system.
  • Experience with Microsoft Power Automate, Copilot Studio, Microsoft Lists, SharePoint, Teams, or comparable automation and agent-building platforms.
  • Working knowledge of data privacy, access controls, responsible AI practices, and compliance considerations related to employment and staffing.

Additional Information

Supervisory Responsibility: This is not a supervisory position.

Delegation: In absence, responsibilities delegated to the Director of Crew Recruiting and Systems.

Work Environment: This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
