Description
We are seeking an experienced Distribution Project Coordinator II to manage and coordinate utility distribution projects from planning through execution. This position will support project managers, engineers, vendors, and internal stakeholders to ensure distribution projects are completed safely, on schedule, within budget, and in accordance with applicable quality and regulatory requirements.
The role requires strong project coordination, scheduling, documentation, reporting, resource management, and communication skills, with prior experience in the utility or energy sector strongly preferred.
Key Responsibilities
- Coordinate and support distribution projects related to electric, gas, or water utility infrastructure.
- Collaborate with project managers and engineers to develop project plans, schedules, milestones, timelines, and objectives.
- Serve as a central point of contact between project teams, contractors, vendors, and other stakeholders.
- Track project activities, deliverables, milestones, issues, and risks.
- Develop and maintain project schedules and identify potential delays or conflicts.
- Recommend and coordinate schedule adjustments to keep projects on track.
- Allocate and monitor project resources, including personnel, equipment, and materials.
- Maintain detailed project documentation, including project activities, decisions, approvals, changes, and status records.
- Prepare and distribute project status reports highlighting progress, risks, issues, and upcoming activities.
- Facilitate communication among project teams and stakeholders.
- Support procurement activities, including sourcing materials, obtaining quotes, and coordinating with vendors.
- Assist with vendor relationship management and material tracking.
- Support project scope and change management activities and ensure appropriate approvals are obtained.
- Promote compliance with project safety requirements and applicable work practices.
- Support multiple concurrent projects while maintaining schedule, quality, and documentation requirements.
Required Qualifications
- Bachelor’s degree in Engineering, Project Management, or a related field.
- 5–10 years of project coordination experience.
- Experience supporting utility, energy, infrastructure, or similar technical projects preferred.
- Strong project planning, scheduling, tracking, and documentation skills.
- Strong organizational and multitasking abilities.
- Ability to coordinate multiple projects and priorities simultaneously.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and ability to work effectively with project teams and stakeholders.
- Analytical and problem-solving skills.
- High attention to detail and commitment to quality and safety.
- Ability to work proactively and adapt to changing project requirements.
Microsoft Excel Requirements
Strong proficiency with Microsoft Excel, including the ability to:
- Maintain project tracking data.
- Analyze and summarize project information.
- Extract relevant information from large data sets.
- Create and use PivotTables.
- Use appropriate Excel formulas and functions for project reporting and analysis.
Preferred Experience
- Utility distribution project experience.
- Familiarity with electric distribution systems and related utility operations.
- Knowledge of applicable utility industry regulations and standards.
- Experience coordinating engineering, construction, procurement, and field activities.
- Experience managing project schedules, resources, vendors, and project documentation.
