The Special Events Scheduler is responsible for developing the requirements necessary to implement vendor special events and in-house events. Develop, coordinate, implement, update and maintain the Special Events calendar for Jared, Kay, Peoples and Zales banners, which consists of ~11,000 vendor events annually. Coordinate all vendor special events logistics to ensure seamless execution of the events. Work cross-functionally with other business partners and operations on event schedule, plans, new vendor selection, labor allocation, etc. Supports the Special Events Manager on all vendor special event initiatives and completes assigned ad hoc requests.KEY RESPONSIBILITIES
- Develop, maintain, and optimize the annual Vendor Special Events Schedule, ensuring strategic timing, event spacing, and alignment with holiday and promotional calendars
- Manage a comprehensive special events calendar across Jared, Kay, Peoples, and Zales, coordinating event dates with vendors to maximize performance and consistency across brands
- Partner with vendors, merchandising, and brand leadership to identify, evaluate, and implement new special event opportunities that drive sales and customer engagement
- Monitor, validate, and update event schedules, databases, and planning files to ensure accuracy across all systems, reporting tools, and customer-facing platforms
- Resolve scheduling conflicts and collaborate with vendors and business partners to identify alternative solutions that support event success and business objectives
- Prepare and distribute field communications related to special events, including schedules, policies, procedures, training resources, updates, and operational guidance
- Review, update, and maintain special events policies, training materials, and documentation to ensure content remains current, relevant, and effective
- Create and manage presentations, communications, and SIGnet content that promote special event programs, resources, best practices, and business results
- Serve as the primary liaison between vendors, operations teams, and cross-functional business partners, addressing issues and supporting successful event execution
- Analyze event performance, collaborate on staffing and labor planning, support brand event strategies, and provide backup leadership for the Special Events Manager during peak periods or absences
- Apply strong organizational, analytical, problem-solving, and project management skills to prioritize multiple event-related initiatives
POSITION QUALIFICATIONS:
- Bachelor's degree and 2+ years experience in a similar work setting
- 1+ years experience in project management, retail operations, or related field
- Strong project management skills with the ability to prioritize, manage, and execute multiple projects simultaneously
- Excellent verbal and written communication skills, including the ability to present clear, concise recommendations to leadership
- Advanced proficiency in Microsoft Office and collaboration tools, including Excel, Word, PowerPoint, Teams, and SharePoint
- Ability to build and maintain positive, collaborative relationships across departments and organizational levels
- Highly organized and detail-oriented, with exceptional time management skills
- Strong analytical and problem-solving abilities, using critical thinking and innovative approaches to address operational challenges
