Inventory Coordinator

Description

Role Summary:

The Inventory Coordinator is responsible for maintaining accurate inventory records, supporting product traceability, conducting cycle counts and audits, and ensuring inventory-related transactions are properly recorded within the ERP system. This role works closely with Operations, Finance, Quality Assurance, and offsite storage facilities to support inventory accuracy, compliance, and continuous improvement initiatives.

The successful candidate is highly organized, detail-oriented, and committed to maintaining world-class quality standards while helping drive operational excellence across the organization.

Role Responsibilities and Essential Functions:

Inventory Management & Control

• Perform daily cycle counts at company facilities and verify inventory accuracy.
• Investigate and resolve inventory discrepancies and variances.
• Maintain accurate inventory records and product traceability within the ERP system.
• Verify offsite purchase order receipts and inventory labeling at third-party storage locations.
• Assist with comprehensive lot tracking and inventory reconciliation efforts.
• Work collaboratively with Accounting and Operations to analyze and resolve inventory-related issues.

Auditing & Compliance

• Conduct internal audits of inventory control processes and procedures.
• Ensure compliance with inventory control standards and established procedures.
• Support product traceability and documentation requirements.
• Follow and enforce all Good Manufacturing Practices (GMPs), food safety, sanitation, quality, and safety standards.
• Report Food Safety Management System (FSMS) concerns to Quality Assurance leadership or executive management.

Process Improvement

• Create, update, and maintain Standard Operating Procedures (SOPs) related to inventory control.
• Identify opportunities to improve inventory processes, controls, and system functionality.
• Collaborate with Information Technology and other departments to implement process improvements.
• Recommend and support initiatives that improve inventory accuracy, efficiency, and operational effectiveness.

Communication & Collaboration

• Coordinate activities between departments to ensure accurate inventory transactions and reporting.
• Develop productive working relationships with internal teams and external storage partners.
• Coach and support employees on inventory-related policies and procedures.
• Perform additional duties and special projects as assigned.

Requirements

Education and Experience:

• High school diploma or equivalent required.
• Experience working with ERP systems required; Epicor experience preferred.
• Prior inventory control, warehouse, manufacturing, or production environment experience preferred.
• Experience conducting cycle counts, audits, and inventory reconciliations preferred.

Skills and Abilities:

• Strong attention to detail and accuracy.
• Excellent organizational and prioritization skills.
• Ability to analyze inventory discrepancies and identify root causes.
• Intermediate computer proficiency, including ERP systems and Microsoft Office applications.
• Basic math and counting skills.
• Strong communication and collaboration abilities.
• Ability to adapt to changing priorities and support continuous improvement efforts.
• Ability to work effectively in a refrigerated, multi-cultural manufacturing environment.

Physical Requirements:

This position sits in a standard office environment with regular interaction with the operation and warehouse facilities. The office does allow pets so one must be comfortable with pets. The role will require the usage of standard technology such as phones, computers, printer/scanning, etc. While the intent of this role is to operate during standard business hours, there may be times when it is required to work extended hours, evenings, holidays, and/or weekends. Ability to safely navigate warehouses, production, and storage environments.

The physical demands must be met with or without accommodation for an employee to be successful in performing the essential job functions of this role. This includes regular and frequent walking, listening, sitting, standing, walking, use of hands and fingers, and the ability to push or lift to 15 pounds.

Frequent local travel between facilities and third-party storage locations.
