Development Operations Assistant - Development

This is a hybrid position which requires 8 days per month in the office. You will be based in our office in WRI Indonesia, Jakarta. Existing work authorization is required at the time of application submission as WRI is unable to sponsor any visa work sponsorship for this position. 

Program Overview

As a non-profit research institution, WRI Indonesia dedicates its contribution to the socioeconomic development of Indonesia in an inclusive and sustainable way. WRI Indonesia works in six main areas: Food, Land, Water, Climate, Energy, Cities, and Ocean Sectors. WRI Indonesia aspires to support the achievement of Indonesia’s Sustainable Development Goals by implementing various activities under its two program clusters:

Food, Land, and Water

  • Transforming Supply Chains and Livelihoods: Our mission is to drive the adoption of sustainable palm oil production practices at the national, regional, and global levels. We collaborate closely with government bodies, smallholders, and agriculture businesses, including palm oil, to ensure sustainable livelihoods and secure land tenure.

  • Strengthening Forest and Peat Monitoring: We aim to enhance the monitoring capabilities of stakeholders, focusing on forests, peatlands, and landscapes. By leveraging scientific advancements, we aim to support forest management and conservation efforts effectively. We are dedicated to combating illegal forest logging and advocating for thorough reviews of palm oil business licenses.

  • Innovating Financing for Nature-based Solutions: Our commitment lies in financing nature-based solutions (NbS) projects. Through strategic investments and partnerships, we strive to find the most effective financing mechanisms and tools that ensure the long-term sustainability of NbS programs.

  • Advancing Sustainable Food Systems: Our primary objective is to expedite the transformation of food and land use systems. We actively support the reform agenda for food systems, fostering positive outcomes for the environment, health, inclusive development, and food security. We aim to align these systems with globally agreed upon sustainable development, climate, and biodiversity goals.

Climate, Energy, Cities, and Ocean

  • Climate: We are dedicated to advancing transformative solutions for climate change mitigation and adaptation by assisting the Indonesian government in exceeding its climate commitments and successfully transitioning to low carbon development. We engage with businesses and civil societies at local, national, and international levels to drive transformative solutions that combat climate change and enable communities to adapt to its impacts.

  • Energy: We accelerate the transition towards a clean energy future through innovative solutions in clean energy governance and transparent market mechanisms that prioritize inclusivity and fairness. In addition, we convene stakeholders from national and sub-national governments, business sectors, and civil society to collaborate and achieve our shared goals.

  • Cities: We provide technical assistance to policymakers and urban planners, empowering them to fortify the resilience of urban residents against climate change impacts and reduce road fatalities.

Job Highlight

The Development Operations Assistant provides administrative and operational support to enable the effective functioning of the Development team and its fundraising activities. The role supports management of organizational due diligence requirements, donor documentations, submission process, and internal coordination to ensure fundraising activities are implemented efficiently. This position will work closely with internal teams to facilitate communications, maintain efficient workflows, and support administrative processes to ensure the Development team deliver high-quality results.

This position will be based in Jakarta with office-flex working arrangement and working under the direct supervision of Donor Stewardship and Fundraising Specialist. What You Will Do

Administrative Compliance & Documentation (40%)

  • Maintain and regularly update WRI Indonesia's organizational due diligence documents ( e.g. organizational certificate evidence, updated organization’s overhead breakdown information, institutional support letters, personnel CVs, past projects value and etc) to maintain data accuracy and institutional information required for donor applications.

  • Coordinate the collection, review, and submission of organizational due diligence, letters and administrative documents requested by donors, partners, and submission platforms.  

  • Contribute to track submission timelines to ensure all administrative requirements are completed accurately and on schedule.

  • Maintain repository of centralized credentials access (email and passwords) for proposal portal submission.

  • Contribute to the preparation of presentation deck and assist in developing presentation materials.

Operational & Administrative Coordination (40%)

  • Coordinate document routing, internal approvals, and signature processes for contracts, agreements, and due diligence documents.

  • Prepare administrative documentation required for donor registrations, online grant portals, organizational profiles, and any institutional registration process for fundraising purpose.

  • Coordinate meetings, maintain meeting minutes, and monitor administrative follow-up actions.

  • Liaise with Finance, Operations, HR, Legal, and other internal functions to obtain administrative documentation required for proposal development/fundraising activities.

Administrative Process Improvement (20%)

  • Maintain administrative trackers for due diligence requests, document submissions, and compliance deadlines.

  • Identify opportunities to improve document management systems, filing structures, and administrative workflows.

  • Develop and maintain standard administrative templates, checklists, and guidance documents to improve operational efficiency.

What You Will Need

  • Bachelor’s degree in business administration, Finance, Economics, International Development, or other related field.

  • Minimum 2 years of relevant professional experience in administrative coordination, operations support, project supports, development programs, fundraising supports or other related roles (experience can include hands-on involvement in campus activities or volunteer work)

  • Direct experience working with donor-funded projects and familiarity with donor reporting requirements is preferred.

  • Experience supporting collaborative proposal development processes

  • Experience managing administrative documentation, compliance requirements, records management, and/or coordination process within an organization.

  • Understanding in project management principles, fundraising processes, and donor relationship management best practices

  • Strong writing, editing, and/or proofreading skills

  • Ability to learn various tools to track and review proposal pipeline and funder’s requirements.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience in using document management, collaboration, or CRM systems is preferred (SharePoint, and Salesforce)

  • Strong interpersonal and collaborative skills; a demonstrated ability to diplomatically and effectively collaborate internally to deliver results.

  • Proficiency in English and Bahasa Indonesia, both written and verbal.

  • Comfortably working in a fast-paced environment with strong ability in managing multiple competing priorities.

  • Ability and willingness to travel as assigned

  • Legally able to work in Indonesia

Contract Arrangement 

Full-time with fixed-term employment agreement up to 31 December 2026.
