Position Summary
The Medical Front Office Trainer at Bedford Commons OBGYN is responsible for onboarding, training, and developing front office staff across all practice locations. This role promotes consistent workflows, exceptional patient service, and adherence to organizational policies and regulatory requirements. The Front Office Trainer serves as a key resource for front office team members, conducts quality audits and coaching, supports the Front Office Manager with training initiatives and process improvements, and provides hands-on front desk coverage as needed to ensure seamless daily operations.
Key Responsibilities
Training & Onboarding
- Lead the orientation and onboarding process for all newly hired medical receptionists.
- Deliver hands-on instruction for Electronic Health Record (EHR) and Practice Management (PM) software.
- Teach critical front-office workflows: registration, patient check-in/out, co-pay collection, and phone etiquette.
Training & Development
- Train new and existing front office staff on workflows, systems, and best practices
- Develop, maintain, and improve training materials and onboarding programs
- Ensure consistent training and workflow standards across all office locations
- Identify performance gaps and provide coaching and retraining as needed
Scheduling & Operations
- Manage and maintain master front office schedules across all locations
- Coordinate staffing coverage to ensure operational efficiency
- Assist Front Office Manager with scheduling adjustments based on patient volume and business needs
- Help improve front office workflows and operational processes
Coverage Support
- Provide front desk coverage for callouts, PTO, or staffing shortages across all locations
- Support patient check-in/check-out, scheduling, registration, and phone coverage as needed
- Maintain smooth daily operations during staffing changes or high-volume periods
- Ensure assigned front office responsibilities, including recalls and no-show follow-up, are completed accurately and in a timely manner.
Leadership Support
- Act as a resource for front office team members and Front Office Manager /leadership team.
- Promote accountability, teamwork, and excellent patient service
- Assist with other projects and duties as assigned
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- Two (2) or more years of experience in a medical front office or healthcare operations role preferred.
- Previous experience training, coaching, mentoring, or leading front office staff required. Supervisory experience is preferred.
- Strong leadership, communication, and problem-solving skills
- Ability to work independently and adapt in a fast-paced environment
- Proficiency in EMR systems, scheduling software, and Microsoft Office
Schedule & Location
Full-Time | Monday–Friday
Hours: 7:30 AM – 4:30 PM
This position is primarily assigned to Bedford location but requires travel between Bedford, Derry, Londonderry, and Windham offices.
Compensation
Starting at $22.00/hour; higher compensation considered based on experience
