Help keep our vehicle inventory accurate, organized, and ready for customers.
United Access is looking for a Vehicle Data Specialist to help maintain the accuracy and integrity of our vehicle inventory information across locations and business systems.
This is a great opportunity for someone who enjoys working with data, solving discrepancies, improving processes, and coordinating across teams. You'll work at the intersection of vehicle inventory, automotive operations, data management, and business systems, helping ensure our teams can rely on accurate information about where vehicles are, their current status, and whether they're ready for sale.
You don't need to be an IT specialist. We're looking for someone who is detail-oriented, comfortable working in multiple systems, and naturally curious when something doesn't look right.
What You'll Do
As a Vehicle Data Specialist, you'll help keep our vehicle inventory records accurate and resolve issues when the information in our systems doesn't match what's happening in the business.
You'll:
· Maintain accurate vehicle inventory data by reviewing information such as vehicle details, mileage, location, ownership, status, acquisition information, conversion details, and availability.
· Investigate inventory discrepancies and work with the appropriate teams to determine what happened and get records corrected.
· Monitor vehicle movement and status from ordering and transit through receipt, transfer, and in-stock inventory.
· Support physical inventory reconciliation by helping resolve differences between vehicles physically at a location and what's reflected in our systems.
· Monitor vehicle holds and other inventory exceptions, following up on aging or unresolved items and escalating issues when needed.
· Help ensure vehicles are accurately represented for sale by identifying missing or incomplete inventory information that may affect retail readiness.
· Support vehicle record setup for purchased, traded, rental, commercial, or otherwise acquired vehicles and coordinate missing information or documentation.
· Manage approved user access for designated vehicle and inventory systems, including setting up users, updating access, and deactivating accounts when appropriate.
· Serve as a resource for questions related to vehicle inventory records, DealerTeam, and related inventory processes.
· Partner with teams including Vehicle Intake, Appraisals, Accounting, IT, Sales, Rental, Commercial, and store operations to resolve inventory-data issues.
· Document recurring discrepancies, system issues, and process gaps so they can be addressed at the source.
· Look for opportunities to simplify, standardize, or automate manual processes and reduce repetitive follow-up.
What Will Help You Succeed
You'll likely be a strong fit if you:
· Have experience in automotive operations, vehicle inventory, dealership administration, fleet operations, data administration, or a similar operational support role.
· Are comfortable learning and working across vehicle inventory, dealership management, vehicle-history, appraisal, and other business systems, along with Microsoft Excel, Outlook, and Teams.
· Have strong attention to detail and genuinely enjoy finding and correcting inconsistencies.
· Are comfortable researching a problem across multiple systems or sources rather than stopping at the first answer.
· Can organize multiple open items and follow them through to resolution.
· Communicate clearly with people across different departments and locations.
· Know when to resolve something yourself, when another team owns the next step, and when an issue needs to be escalated.
· Are comfortable working with Microsoft Excel, Outlook, Teams, reports, and structured data.
· Can learn new inventory, dealership management, and third-party business systems.
· Are interested in process improvement and automation, particularly finding better ways to handle repetitive work.
Minimum Qualifications
· High school diploma or equivalent.
· Experience in automotive operations, vehicle inventory, dealership administration, fleet operations, data administration, or a related operational support function.
· Experience maintaining accurate records and researching discrepancies across multiple systems or data sources.
· Proficiency with Microsoft 365, including Excel, Outlook, and Teams.
· Ability to work independently, manage competing priorities, and maintain accurate documentation.
· Strong written and verbal communication skills.
What Success Looks Like
Success in this role means our teams have vehicle information they can trust. You'll help:
· Improve the accuracy and completeness of vehicle inventory records.
· Resolve inventory discrepancies before they become larger operational problems.
· Keep physical vehicle location and system information aligned.
· Reduce aging inventory holds and unresolved exceptions.
· Support accurate, timely system access.
· Identify recurring issues and opportunities to improve or automate processes.
Why United Access?
At United Access, accurate vehicle information supports much more than a database. It helps our teams understand what inventory is available and supports the processes that ultimately get vehicles ready for customers.
This role gives you the opportunity to work across the organization, solve real operational problems, and help improve how vehicle inventory information is managed at scale.
