- Base Salary starting at $107,312 (pro rata) + 17% superannuation
About the opportunity
The Education Support Officer (Clinical – Macquarie Placements) provides high-level administrative and operational support to enable the effective delivery of clinical education and student placement activities for the Macquarie University Doctor of Medicine program, supporting students and staff across clinical placements based at Royal North Shore Hospital. Working closely with academic staff, Clinical School leadership, clinical educators and hospital partners, the role coordinates key education processes, maintains accurate systems and records, and supports compliance and reporting requirements to ensure a high-quality student and staff experience across clinical placements.
The role also provides advice and support to the Head of Clinical School on relevant university policies, procedures and business processes, and supports students throughout placement rotations, escalating issues where appropriate. A key focus is the coordination of orientation and induction activities, clinical assessments, and operational logistics (including teaching spaces, resources and communication) to ensure placement delivery aligns with curriculum requirements and professional standards.
Due to operational requirements, the successful candidate will be required to work predominately on-site.
Your key responsibilities will be to:
- provide high-level administrative and operational support for clinical education and placement delivery
- advise staff, students and clinical educators on university policies, procedures and processes; escalate complex issues as needed
- coordinate placement orientation and induction with Clinical School leadership and curriculum/discipline leads
- support Clinical Leads to ensure safe, compliant clinical experience hours are maintained.
- coordinate clinical assessments and related processes in line with course requirements and university policy
- maintain accurate education/placement records and systems (databases, contact lists, documentation), ensuring data integrity and timely reporting
- prepare reports and updates for relevant leaders to support placement planning and decision-making
- build and maintain effective relationships with internal and external stakeholders, including hospital partners
- support program evaluation and continuous improvement by collecting feedback and improving systems and processes
- provide committee and secretariat support as required
- comply with WHS, EEO, professional standards and codes of ethics
- undertake other duties and projects appropriate to the role.
About you
- relevant tertiary qualification, or equivalent training and experience (health, education or clinical/placement administration desirable)
- 2–4 years’ experience in education administration/operations, preferably in tertiary and/or clinical placement settings
- experience supporting learning and teaching operations, including student placements and assessment-related administration
- ability to interpret and advise on education policies and procedures
- strong digital capability with university systems; high computer literacy including database/records management and data integrity
- strong organisational skills to manage competing priorities and deadlines with minimal supervision
- clear communication and strong customer service skills; able to build effective relationships with academics, clinicians, staff, students and partners
- strong attention to detail, including producing high-quality documentation and reports
- demonstrated continuous improvement mindset and experience improving administrative processes
- collaborative, positive team member who works effectively across teams.
