Position Summary

Aeon is seeking an organized, dependable, and service-focused Assistant Property Manager to join our team at South Quarter, a 210-home mixed-income and supportive housing community made up of four properties in South Minneapolis: The Rose, The Wellstone, The Jourdain, and Pine Cliff.

Working closely with the Senior Property Manager, the Assistant Property Manager will help keep leasing, affordable housing compliance, rent collections, resident services, and office operations running smoothly. Success in this role requires strong attention to detail, good judgment, and the ability to manage multiple priorities while providing responsive, respectful service to residents.

We're looking for someone who takes ownership of their work, follows through on commitments, and enjoys working with people. This position plays an important role in keeping our communities well managed, supporting strong property performance, and helping foster safe, stable, and welcoming communities that support residents' long-term housing stability.

The Assistant Property Manager reports to the Senior Property Manager.

Key responsibilities include, but are not limited to:

Resident and Property Relations

  • Serve as a welcoming and reliable point of contact for residents, responding to questions, concerns, and requests in a timely and professional manner.
  • Enter and coordinate maintenance requests, communicate updates to residents, and work with maintenance staff to address property needs.
  • Coordinate vendor and contractor access, assist with resident communications and community meetings, and respond to urgent property matters as needed.
  • Support positive resident relationships while applying lease requirements and property policies fairly and consistently.

Office and Administrative Support

  • Help manage daily office activities, including phone calls, mail, resident inquiries, filing, supplies, and general administrative needs.
  • Maintain accurate applicant, resident, and property records in Aeon's property management systems.
  • Prepare notices, letters, reports, and other documents, ensuring information is accurate, complete, and delivered on time.
  • Support the Senior Property Manager with daily priorities, follow-up tasks, and projects that keep all four communities operating smoothly.

Regulatory Compliance

  • Manage all onsite affordable housing compliance for new applications, initial certifications, annual and interim recertifications, and other requirements under HUD, LIHTC/Section 42, and applicable housing programs.
  • Work directly with applicants and residents to collect and verify required information, resolve missing documentation, and complete certifications accurately and on time.
  • Maintain organized, accurate compliance files, track upcoming deadlines, and prepare records for audits, inspections, and file reviews.
  • Partner with Aeon's Compliance team to address complex eligibility questions, resolve compliance findings, and ensure all four properties meet program requirements.

Rent Collections and Financial Support

  • Assist the Senior Property Manager with rent collection efforts, including monitoring past-due balances, preparing notices, and following up with residents as directed.
  • Accept and process rent payments, receipts, and deposits accurately and on time.
  • Help maintain accurate resident financial records and respond to basic account questions.
  • Provide administrative support with financial reports, lease terminations, and other financial tasks as needed.

Leasing and Marketing

  • Serve as a main leasing contact for the properties, responding to inquiries, providing accurate information about available apartment homes, and conducting engaging apartment and property tours.
  • Build relationships with prospective residents, understand their housing needs, and consistently follow up to move prospects through the leasing process and support strong occupancy.
  • Guide applicants through the application and leasing process, including screening and eligibility requirements, required documentation, lease paperwork, and move-in coordination.
  • Maintain accurate and timely prospect, application, and leasing records and keep applicants informed throughout the process.

Physical Asset

  • Conduct move-in and move-out inspections, documenting apartment conditions and coordinating follow-up needs.
  • Walk the properties regularly to identify maintenance concerns, safety issues, and areas needing attention.
  • Partner with maintenance staff to support apartment turnovers, property upkeep, and timely completion of work.
  • Help prepare properties for inspections and follow up on identified concerns.

  • Demonstrated ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations.
  • Experience working with individuals experiencing or significantly impacted by mental health challenges, substance use, poverty, long-term homelessness, and trauma is a plus.

  • Must be a resourceful, problem solving, relationship-building, seeker of excellence.
