Salary: $54,884 - $56,765
The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a full-time Administrative Assistant position. Administrative Assistant position on the Data Team for the IPS Center of Excellence, within the Division of Community Engagement and Implementation Science at the New York State Psychiatric Institute.
The Administrative Assistant supports the Project Manager with the fiscal and operational administration of the project. Core responsibilities include reconciling internal budgets against monthly expense reports, tracking spending against quarterly and annual budget targets, and preparing monthly budget reports. The Administrative Assistant also supports the coordination of consultant contracts, processing invoices, and confirming deliverables.
Duties and Responsibilities:
- Support the Project Manager with reconciliation of internal budgets against monthly expense reports
- Support the Project Manager with tracking expenses to ensure alignment with quarterly and annual budget goals
- Support the Project Manager with preparation of monthly budget reports for senior project staff
- Support the Project Manager with coordination of consultant contracts, including maintaining the contract registry, processing invoices, confirming deliverables, and managing contract renewal and closeout
- Support the Project Manager with day-to-day operations of the IPS Center of Excellence Data Team, including work plan tracking, milestone monitoring, and coordination with county sites, state agency partners, and the funder
- Support the Project Manager with day-to-day maintenance of the project's data infrastructure, including database management, fidelity data collection and quality review, and maintenance of implementation tracking tools and dashboards
- Support the Project Manager with coordination of staff meetings, logistics, and training schedules
Minimum Qualifications:
- Bachelor's degree in accounting, Business Administration, Health Policy, Public Health, Public Administration, or a closely related field.
- Minimum (1) year of full-time, post-degree experience in project administration and coordination.
- Minimum (1) year of experience tracking expenses and preparing written budget reports or financial summaries.
- Minimum (1) year of experience with Microsoft 365 Suite
Preferred Qualifications:
- Minimum (1) year of advanced Microsoft Excel use, including pivot tables, VLOOKUP/XLOOKUP, and multi-variable tracking tools
- Master's degree in accounting, Business Administration, Health Policy, Public Health, Public Administration, or a closely related field.
