Summary
The Automatic Door Manager serves as the company's subject matter expert (SME) and operational lead for all automatic door services. This role is responsible for managing preventive maintenance (PM) programs, coordinating field technicians, supporting project delivery, maintaining AAADM certification compliance, and building the internal knowledge base to support the company's growth in the automatic door trade. The ideal candidate is highly organized, technically proficient, and able to work cross-functionally across operations, dispatch, sales, and project teams.

1. Preventive Maintenance (PM) Program Management
- Manage and oversee all PM work orders related to automatic doors from assignment through completion
- Coordinate and schedule field technicians in partnership with Operations and Dispatch
- Ensure all client-required paperwork, service reports, and compliance documentation are completed and submitted on time
- Establish and enforce photo documentation standards; review field photos for quality and completeness
- Track PM schedules, completion rates, and SLA adherence across all active accounts
- Identify recurring issues and proactively recommend corrective action or repair quotes
2. Subject Matter Expert (SME) — Automatic Doors
- Serve as the internal SME for all automatic door-related questions, scope reviews, and technical guidance
- Quote repairs, service upgrades, and parts replacements as needed
- Review and validate field technician assessments for accuracy and completeness
- Support the sales team with technical input on automatic door opportunities and proposals
- Stay current on automatic door technology, industry standards, and manufacturer updates
- Develop and maintain a parts pricing matrix and preferred vendor/distributor relationships for auto door hardware
3. AAADM Certification Administration
- Support and administer the company's AAADM certification program for field technicians
- Work with door technicians to obtain AAADM certification as part of onboarding and development
- Coordinate AAADM certification procurement for new technicians entering the trade
- Track certification expiration dates and manage annual renewals to ensure continuous compliance
- Maintain certification records and ensure documentation is current in company systems
4. Distributor & Parts Sourcing Relationships
- Build and manage relationships with automatic door parts distributors and hardware suppliers
- Source parts and materials efficiently to support both PM work and repair jobs
- Negotiate pricing and establish preferred vendor agreements to support cost control
- Maintain a parts inventory reference and lead times guide for the operations team
- Coordinate material orders for active work orders and upcoming PM cycles
5. Project Support — Doors, Glass, Curtain Walls & Storefronts
- Provide coordination and administrative support for door and glazing projects alongside the project management team
- Assist with scheduling, subcontractor coordination, material procurement, and status tracking
- Ensure project documentation, submittals, and closeout packages are organized and complete
- Serve as a resource for cross-trade continuity between automatic door services and larger capital projects
6. Training, SOPs & Knowledge Management
- Develop and maintain a comprehensive Automatic Doors training program for dispatch and operations staff
- Author and publish standard operating procedures (SOPs) covering dispatch protocols, service workflows, and escalation paths
- Conduct onboarding training for new dispatchers and coordinators on automatic door service requirements
- Create and maintain a quick-reference guide for dispatchers covering door types, common issues, and vendor contacts
- Continuously update training materials to reflect new equipment, client requirements, and field learnings
7. Cross-Functional Coordination
- Act as the primary liaison between the automatic door trade and Operations, Dispatch, Sales, and Project teams
- Communicate job status, scheduling changes, and escalations proactively to relevant stakeholders
- Collaborate with account managers on client communications related to automatic door service delivery
- Assist in identifying and onboarding subcontractor partners in markets where self-perform coverage is limited
Requirements
- 2+ years of experience in automatic door service, facility maintenance, or a related trade coordination role
- Working knowledge of automatic door systems (pedestrian operators, sliding doors, swing operators, ADA-compliant entry)
- Strong organizational skills with ability to manage multiple work orders, deadlines, and technicians simultaneously
- Proficiency with work order management platforms (Corrigo, Service Channel, or similar)
- Clear written and verbal communication skills; comfortable interfacing with clients, technicians, and internal teams
Preferred
- AAADM certification (or willingness and ability to obtain within 60 days of hire)
- Experience in a national facilities services or multi-site service delivery environment
- Familiarity with door hardware, glazing systems, or storefront/curtain wall construction
- Experience managing distributor relationships and sourcing specialty parts
- Background in building or maintaining SOPs and training documentation
