Job Description:

Join Job Duck as an Executive Financial Assistant, where you will play a vital role in supporting executive leadership while helping drive the accuracy, efficiency, and success of key financial operations. In this position, you will combine high level administrative support with financial reporting, data analysis, and operational coordination in a fast paced legal environment. Your work will directly impact reporting accuracy, revenue performance, collections tracking, and organizational effectiveness by ensuring critical projects, financial data, and executive priorities remain organized and on schedule. The ideal candidate is naturally proactive, highly analytical, exceptionally detail-oriented, and comfortable working with confidential information, financial systems, and emerging technologies. • Monthly Compensation Range: 1015- 1100 USD

Responsibilities include, but are not limited to:

  • Identify opportunities to improve efficiency, reporting accuracy, and business processes.
  • Maintain financial dashboards, trackers, and reporting tools.
  • Provide comprehensive administrative support to the Finance Chair
  • Generate, format, and distribute timekeeper, billing, collections, production, accounts receivable, and financial reports.
  • Reconcile cash postings against operating systems and investigate discrepancies.
  • Download data from operational systems into Excel and Google Sheets.
  • Proactively identify outstanding items and follow up with responsible team members.
  • Analyze financial trends, revenue performance, collections, accounts receivable, work in progress, and related financial metrics.
  • Organize, format, and analyze large volumes of financial and operational data.
  • Develop and maintain financial reporting practices and procedures.
  • Support the Finance Chair in achieving revenue and collection objectives.
  • Prepare meeting notes, action items, and follow up communications.
  • Assist with special projects and operational initiatives.
  • Attend weekly finance meetings and firm wide meetings as required.
  • Track assignments, deadlines, action items, and outstanding issues to ensure timely completion.
  • Prepare agendas, meeting materials, reports, presentations, and other business documents.
  • Manage calendars, meetings, appointments, correspondence, and follow up items.
  • Utilize approved AI platforms to improve administrative, financial, research, reporting, and operational workflows

Requirements:

• Bilingual proficiency required

•2-3 years of experience in executive support, finance, billing, accounting, reporting, or administrative operations.

• Ability to handle highly confidential financial, client, firm, and personnel information

• Strong proficiency in Microsoft Excel and Google Sheets

• Experience working with large datasets and financial reporting

• Ability to prepare professional reports, presentations, meeting materials, and executive documentation

• Strong written and verbal communication skills

• Demonstrated ability to manage multiple priorities and meet deadlines

• Comfortable using AI powered tools to improve efficiency and productivity

• Ability to work independently while collaborating effectively with cross functional teams

• Strong problem solving and research capabilities
