National Accounts Payroll Specialist
This position is responsible for acting as a trusted advisor and client service professional by providing timely and accurate advice around payroll compliance and delivering payroll solutions that positively impact client businesses and creates client retention. This role troubleshoots situations, educates clients, develops partnerships with stakeholders, and creates the environment to demonstrate the depth, breadth, and level of care that creates value in the Insperity relationship. The National Accounts Payroll Specialist I improves processes to ensure efficient, accurate, and timely payroll delivery to clients.
ESSENTIAL FUNCTIONS
- Builds and maintains trusted client relationships by ensuring accurate and timely payroll and related services for National Account clients across diverse company structures and multiple states/localities.
- Reviews, inputs, and balances payroll data; ensures compliance with federal, state, and local regulations; processes payroll and distributes reports. Maintains up-to-date knowledge of payroll laws and best practices, supporting audit and Sarbanes-Oxley compliance.
- Interfaces with department management and other internal constituents to support actions and initiatives to improve nation-wide client retention.
- Analyzes client payroll needs and recommends solutions to enhance efficiency and impact. Researches and implements process improvements based on market and industry trends.
- Collaborates with client management and internal teams to improve client retention and service delivery. Participates in client and internal meetings, delivers training, and addresses client questions to support satisfaction.
- Supports client satisfaction indicators via quality service checks among clients and service observations performed by supervisor to ensure client satisfaction.
- Maintains knowledge of a business’s financial operation relating to payroll and accounting for broker, franchise and PCM business operations from an owner/payroll contact/on-site supervisor/CPA perspective to make business decisions and gives guidance to clients.
- Supports process and audit efforts to ensure integrity and accountability for Sarbanes-Oxley compliance.
- Provides responsive, customer-focused service and timely follow-up on client and internal requests. Communicates proactively with clients, teammates, supervisors, and service teams to maintain strong relationships and ensure effective issue resolution.
- Participates in testing of new payroll processes and enhancements.
- Sets high standards of performance for self and others; assuming responsibility and accountability for successfully completing assignments or tasks in a timely manner; self-imposing standards of excellence rather than having standards imposed.
- Acts as back-up to peers and provides project support. Acts as back-up for other payroll functions as assigned.
OTHER RESPONSIBILITIES
- Assists in the accomplishment of Insperity Company goals.
- Helps other employees to accomplish Insperity Company goals.
- Performs other duties as may be assigned by department supervisor.
- Participates in the Disaster Recovery plan as required.
EDUCATION / EXPERIENCE REQUIREMENTS
- High School Diploma or equivalent is required. Bachelor’s Degree is preferred.
- Four or more years of progressive payroll or relevant business experience is required.
- Minimum of two years Insperity or PEO industry payroll experience is preferred.
LICENSES / CERTIFICATIONS
- FPC or CPP certification is preferred.
- Insperity certification: Transactional Excellence and Business Acumen
KNOWLEDGE / SKILLS
- Strong proficiency and experience in payroll administration and practices, and knowledge of federal, state, and local payroll laws and regulations.
- Customer service skills in a team environment.
- Proven ability to build strong relationships of trust with client’s key decision makers, to understand clients’ business needs, and support clients’ perception of the value derived from Insperity’s payroll services.
- Expertise in collaborating with multiple functional experts to ensure high quality, unified service delivery.
- Ability to effectively interact with multiple internal and external business units.
- Strong time management, organizational, and facilitation skills with experience handling multiple task/activities in an efficient and timely manner.
- Exhibits good stewardship of monetary resources.
- Understanding of various HR disciplines and their role and impact on business as it relates to payroll, benefits, taxation, accounting, employment documentation, employment, and general HR practices.
- Demonstrated effective business communication skills to facilitate high service value and service recovery with clients.
- Communicates tactfully and effectively, verbally and in writing, with all levels of the organization and maintains effective work relations with those encountered in the course of employment. Able to communicate to a wide audience on the technical applications of payroll as applied to business and accounting as well as with client contacts for change management in practices and processes that do not support compliance with local, state, or federal law pertaining to payroll and labor practices.
- Demonstrable proficiency with Microsoft Office and the ability to learn new applications, along with a solid understanding of general business principles, office practices, and clerical procedures.
