Job Description:

The North Service Area is seeking an Administrative Technician to provide administrative leadership and operational support across the service area.

This position will work closely with the Service Area Administrator and Service Delivery Administrators and will directly supervise four Office Technicians.

What You’ll Do:

As the Administrative Technician, you will:

  • Supervise, guide, and support four Office Technicians throughout the North Service Area.

  • Coordinate meetings, prepare agendas, record meeting minutes, and maintain schedules.

  • Order office supplies and ensure Service Delivery Administrators receive needed administrative support.

  • Coordinate and maintain the service area’s vehicle fleet.

  • Review and assist with purchase card documentation and receipts, including those associated with Alternative Response cards.

  • Arrange out-of-state travel and related accommodations for service area teams.

  • Process and track postage expenses and other administrative payments.

  • Assist employees with identification badges and access to software applications.

  • Maintain application security access and support related administrative processes.

  • Update organizational charts and coordinate information technology requests.

  • Collect, review, and compile information from databases, spreadsheets, financial records, and other documents.

  • Prepare reports, charts, presentations, and informational summaries related to staffing, workload, budgets, expenditures, projects, and other operational needs.

  • Develop and maintain tracking systems to monitor projects, deadlines, costs, and service area activities.

  • Identify outstanding items and take appropriate action to help ensure goals and deadlines are met.

  • Create and update operational procedures, reference materials, and training manuals for internal and external users.

  • Respond to inquiries and provide guidance regarding administrative processes, program services, application procedures, and processing requirements.

  • Assist with drafting responses to sensitive inquiries or concerns using sound judgment, professionalism, and discretion.

  • Serve as a knowledgeable administrative resource for clerical and technical support staff throughout the service area.

The successful candidate will be an organized and dependable leader who can manage multiple priorities while maintaining accuracy and confidentiality. They will have strong communication, problem-solving, and technology skills and be comfortable providing guidance to staff, coordinating administrative processes, and supporting leaders across multiple locations.


 

Requirements/Qualifications

Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.

 

Preferred Qualifications:

  • Prior Supervision experience is a plus

 

Other: Valid driver's license.

 

Knowledge, Skills and Abilities

Knowledge of:

  • Administrative and office management practices and procedures.

  • Supervisory principles, including assigning work, providing guidance, monitoring performance, and supporting employee development.

  • Recordkeeping, purchasing, expense reconciliation, travel coordination, and inventory-control processes.

  • Business communication, report preparation, meeting coordination, and records management.

  • Confidentiality requirements and appropriate handling of sensitive employee, financial, and program information.

  • Computerized databases, document-management systems, and office software, including Microsoft Outlook, Word, Excel, PowerPoint, and Teams.

Skill in:

  • Organizing and prioritizing multiple assignments, projects, and deadlines.

  • Supervising, coaching, and providing clear direction to administrative support staff.

  • Communicating professionally and effectively with employees, leadership, vendors, and external partners.

  • Preparing accurate meeting minutes, correspondence, reports, spreadsheets, charts, presentations, and procedural documents.

  • Collecting, reviewing, reconciling, and analyzing administrative and financial information.

  • Coordinating meetings, travel arrangements, vehicle usage, supply orders, identification badges, and technology requests.

  • Identifying administrative concerns, researching possible solutions, and taking appropriate follow-up action.

  • Using good judgment, diplomacy, and discretion when responding to sensitive questions or situations.

  • Establishing and maintaining effective working relationships with employees across multiple teams and locations.

Ability to:

  • Lead and support employees working across the North Service Area.

  • Interpret and apply agency policies, procedures, and administrative requirements.

  • Work independently, exercise sound judgment, and make decisions within established guidelines.

  • Maintain accurate and organized electronic and paper records.

  • Monitor projects, expenditures, assignments, and deadlines and follow up when action is needed.

  • Adapt to changing priorities and respond effectively to time-sensitive requests.

  • Explain administrative procedures and technical information clearly to others.

  • Maintain confidentiality and appropriately safeguard sensitive information.

  • Identify opportunities to improve administrative processes and increase consistency and efficiency.

  • Provide dependable support to administrators while balancing the needs of multiple teams and service-area operations.
