Job Description
BASIC FUNCTION:
The Coordinator for the Alumni Association provides administrative and operational support for alumni engagement, programs, communications, and activities across the Alumni Association and its affiliated clubs, affinity groups, and volunteer leaders. This role supports the execution of alumni initiatives, ensures consistent coordination with volunteer leaders, and helps maintain the operational processes needed to support the Alumni Relations team. The Coordinator serves as a liaison between the Alumni Association, the Office of Alumni Relations, and campus partners, helping to ensure effective communication and program delivery.
SUPERVISORY AUTHORITY:
This position does not have direct supervisory responsibilities but collaborates with student workers, volunteers, and campus partners as needed.
NATURE AND SCOPE:
The Coordinator works under the general direction of the Director of Alumni Relations and collaborates closely with Alumni Association leadership, chapter presidents, board committees, and campus stakeholders. The role requires strong organizational skills, the ability to manage multiple projects simultaneously, and a high level of professionalism when interacting with alumni, volunteers, students, and university leaders.
As the primary administrative and operational support for the Alumni Association, the Coordinator handles logistics, communications, volunteer engagement, technology support, and data management. The position requires discretion, attention to detail, and the ability to anticipate needs in a fast-paced, relationship-driven environment. Evening and weekend work may be required for events, meetings, and volunteer initiatives.
PRINCIPAL ACCOUNTABILITIES:
- Provide day-to-day administrative and operational support to the Alumni Association.
- Coordinate logistics for Association meetings, events, and special convenings, including scheduling, materials preparation, and minutes.
- Maintain governing documents, bylaws, policies, and historical records for the Alumni Association.
- Support elections, appointments, and leadership onboarding processes.
- Serve as a point of contact for alumni clubs, constituent unites, and volunteer leaders.
- Assist clubs with compliance, reporting requirements, event planning, and annual goal-setting.
- Maintain the directory of chapter leadership and volunteer contacts.
- Support training programs for club leaders, including resource development and workshop coordination.
- Support the planning and execution of Alumni Association events, programs, and initiatives, including virtual and in-person engagement opportunities.
- Coordinate logistics for signature events such as Homecoming activities, Reunions, networking programs, athletics, and regional engagement.
- Manage event registration, hospitality, volunteer coordination, and post-event data reporting.
- Draft and distribute communications on behalf of the Alumni Association, including newsletters, announcements, event promotions, and volunteer updates.
- Collaborate with Advancement Communications teams to ensure effective communication on behalf of the Alumni Association.
- Manage alumni and club data within RaisersEdge and other alumni engagement platforms, ensuring accuracy and timely updates.
- Generate reports and dashboards to track engagement metrics, volunteer involvement, and program outcomes.
- Ensure compliance with data privacy and university guidelines.
- Assist with processing invoices, reimbursements, and financial requests related to Alumni Association activity.
- Support tracking of club budgets, restricted funds, and spending guidelines.
- Represent the Department of Alumni Relations in meetings, planning sessions, and collaborative initiatives.
- Support university-wide events involving alumni participation.
- Provide customer service and timely responses to alumni inquiries.
- Support strategic initiatives and special projects assigned by the Director of Alumni Relations and/or Assistant Director of the Alumni Association.
- Perform other duties as required to advance alumni engagement goals.
CORE COMPETENCIES:
- Ability to manage multiple priorities, coordinate logistics, and ensure seamless execution of programs, events, and daily operations.
- Strong understanding of administrative workflows, documentation, and process improvement to support efficient operations.
- Working knowledge of event planning, customer service, and on-site coordination to support successful program delivery.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word); experience with CRM systems, event platforms, or data tracking tools is a plus.
- Highly detail-oriented with the ability to maintain accurate records, track inventory, and manage competing deadlines.
- Strong written and verbal communication skills with the ability to effectively engage and coordinate with diverse stakeholders.
- Demonstrated ability to handle sensitive information with discretion and maintain a high level of professionalism.
- Ability to build and maintain effective working relationships with faculty, staff, students, alumni, vendors, and external partners.
- Willingness and ability to travel as needed to support alumni events, programs, and university initiatives.
MINIMUM REQUIREMENTS:
- 1-3 years of progressive administrative and office management experience.
- Ability to complete periodic weekend work hours
