Summary


The Data and Document Control Clerk is responsible for maintaining accurate, organized, and current engineering, quality, manufacturing, and customer records supporting AllClear Aerospace & Defense’s Engineered Products business.


This position performs data entry, filing, scanning, revision updates, distribution, archiving, and other routine document-control activities. The Data and Document Control Clerk works with Engineering, Quality, Operations, Planning, and other departments to help ensure current approved documentation is available, and records are accurate, organized, and easily retrievable. The successful candidate will be detail-oriented, organized, comfortable working with electronic and paper records, and able to accurately maintain information within company systems while following established procedures.


This is a great entry-level opportunity for a recent high school graduate or early-career candidate interested in gaining experience in an aerospace and manufacturing environment.


Essential Duties and Responsibilities


Document and Records Administration

  • Perform accurate data entry and maintain document and record information in company systems. 
  • File, scan, organize, retrieve, distribute, and archive electronic and paper documents. 
  • Maintain document details such as revision levels, dates, approvals, and status. 
  • Process new and revised drawings, specifications, work instructions, procedures, and other documents as directed. 
  • Help ensure current approved documents are available for use and outdated versions are properly removed or archived. 
  • Maintain engineering, manufacturing, quality, customer, and legacy records, including paper files and technical documentation. 
  • Verify records for accuracy and completeness and follow up on missing or inconsistent information. 
  • Support conversion of paper or legacy records into electronic files. 
  • Follow established naming conventions, filing structures, and data-entry procedures. 

Department and Production Support

  • Support Engineering, Quality, Planning, Manufacturing, and other departments with document and record requests. 
  • Review documents for basic completeness, revision level, and required approvals before filing or distribution. 
  • Support audits by locating and providing requested records and documentation. 
  • Maintain records in accordance with company procedures, confidentiality requirements, and applicable quality requirements.

Required Qualifications

  • High school diploma or equivalent. Prior experience in data entry, administrative support, records management, document control, or a similar role is preferred but not required.
  • Strong attention to detail and accuracy. 
  • Experience working with electronic and paper filing systems. 
  • Proficiency with Microsoft Office and general computer/data-entry systems. 
  • Ability to organize records, follow established procedures, and manage routine document requests. 

The following experience is helpful but not required

  • Experience in manufacturing, aerospace, defense, quality, or another regulated environment. 
  • Familiarity with engineering drawings, revision levels, specifications, or technical documentation.
  • Experience using ERP, QMS, PLM, EDMS, or similar business systems.
  • General familiarity with AS9100, ISO 9001, ITAR, EAR, or similar requirements.
