Responsibilities:
- Coordinate with Project Managers and key stakeholders to prepare and consolidate weekly project status reports, ensuring timely and accurate project updates.
- Support project governance meetings by arranging schedules, preparing meeting materials, documenting minutes, and tracking action items to closure.
- Maintain and update project information, dashboards, and governance repositories to ensure data accuracy and visibility.
- Collect, validate, and consolidate project-related information from Project Managers and stakeholders for reporting and governance purposes.
- Monitor and track project action items, risks, issues, and deliverables, following up with relevant parties to ensure timely resolution.
- Assist in the implementation and maintenance of project governance processes, standards, policies, and documentation.
- Support compliance with organizational and regulatory governance requirements within the IT project portfolio.
- Provide administrative and coordination support to the Team Lead and project governance team as required.
- Facilitate communication across project teams to ensure alignment on governance requirements and reporting expectations.
- Prepare presentation materials, governance reports, and management updates for project review meetings and steering committees.
- Support continuous improvement initiatives by identifying opportunities to enhance governance processes, reporting, and documentation practices.
- Perform ad hoc governance, coordination, and administrative tasks as assigned.
Requirements:
- Bachelor's degree in Information Technology, Computer Science, Business Administration, Project Management, or a related discipline.
- Minimum 3 years of experience in a Project Management Office (PMO), Project Governance, or Project Coordination role within a Banking IT environment.
- Hands-on experience supporting or managing projects using the Waterfall project management methodology.
- Strong understanding of project governance, project lifecycle management, reporting, and stakeholder coordination.
- Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint, for documentation, reporting, data analysis, and presentation preparation.
- Experience in preparing project status reports, meeting minutes, action logs, governance documentation, and management presentations.
- Excellent organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to collaborate effectively with Project Managers, IT teams, and business stakeholders.
- Proficiency in Business English (written and spoken) is required.
- Proficiency in additional languages is an advantage, particularly for supporting regional stakeholders and cross-border projects.
- Detail-oriented with strong follow-up, coordination, and documentation capabilities.
- Experience working in a regulated financial services or banking environment is preferred.
