The Event Coordinator supports the planning, management, and execution of pharmaceutical marketing, medical education, and training programs. Working closely with Event Planners and reporting to the Director of Meetings & Events, this role helps coordinate programs from start to finish, including venue sourcing, travel logistics, healthcare professional communications, on-site meeting support, and program reconciliation, while upholding all client-specific compliance, privacy, and pharmaceutical industry standards.
Responsibilities:
Work with Director and/or Event Planners to help facilitate pharmaceutical medical education programs including:
- Large scale programs such as Speaker Trainings, Product Theatres, Symposiums, Customer Receptions/Dinners, Congresses
- Small to mid-size programs such as Advisory Boards, KOL/HCP Engagements, local trainings
- 1:1 Consulting Meetings and HCP meals at large medical congresses/conventions
Assist Meetings & Events Team with all logistical aspects of programs including:
- Manage registration websites & HCP communications
- Book air travel and ground transportation
- Process honoraria payments
- Process HCP expense reimbursement payments
- Research/source venues for events
- Order meeting materials and supplies
- Print/ship materials
- Data Input
- Travel to meeting locations and support Event Planners with on-site logistics
- Verify final attendee list and cross reference for accuracy
- Assist with the reconciliation process upon program completion
Qualifications:
- A bachelor’s degree or equivalent work experience
- 1+ years relevant experience, event planning and/or speaker bureau exposure highly preferred
- Microsoft Office Suite – Excel, Word, Power point, Outlook
- Adobe Acrobat
- Strong multitasking and organizational skills in a fast-paced environment
- Excellent communication, customer service, and problem-solving abilities
- Professional, detail-oriented, and proactive team player with a strong work ethic
Requirements:
- This role is hybrid; candidates must be able to work from the Red Bank, NJ office (1-2 times per week) to support meeting operations, preparation, and distribution of meeting materials
- Ability to travel up to 25%, including occasional weekends, to support business and program objectives (typically 4-6 times a year)
- Must be able to pack and lift boxes up to 20 pounds

The potential base pay range for this role, when annualized, is $33,800.00 - $84,500.00. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.
