Job Summary:

Provides administrative support to Corporate Security by administering policies and procedures, monitoring administrative projects, and maintaining schedules. Demonstrates integrity, discretion, tact, and diplomacy to ensure confidentiality and effective execution of daily operational activities.

Job Description:

  • Supports business functions and physical security administrative processes by maintaining files and records, analyzing data, preparing reports, and demonstrating expert-level proficiency in Microsoft Office 365.

  • Organizes and updates employee files and recordkeeping, and processes department-specific documentation related to contracts, invoices from contractors, and investigations to ensure accuracy and timely completion

  • Participates with Administrative Assistants in meeting physical security requirements by coordinating compliance activities during the planning and execution of events and meetings.

  • Assists Corporate Security Leadership by performing daily operational functions, including screening calls, coordinating visitor requests for LUMA and PREPA, processing expense reports, maintaining calendars, and scheduling meetings.

  • Attends meetings and collaborates on action items, ensuring follow‑through on deliverables and supporting the completion of operational objectives.

  • Collaborates with corporate security staff to perform and verify physical access activities at LUMA OMA facilities, resolving complex and confidential issues that may impact timely execution of security processes.

  • Follows established company policies, procedures, and standards to ensure full compliance with applicable laws and industry regulations.

  • Participates in storm restoration tasks and assigned drills to contribute to the safe and reliable recovery of services.

  • Performs additional tasks aligned with role expectations and qualifications to support team goals and operational flexibility.

Additional Job Description:

Education

  • Bachelor's degree in Business Administration, Office Administration, or related administrative field.

Experience

  • 1 years' experience with functional role responsibilities.

  • Experience performing presentations, completing purchases requests and expenses reports.

  • Experience providing administrative support across multiple functional areas.

Additional experience may substitute for required education when it aligns with the competencies and knowledge necessary for the role:

  • Associate’s degree in a relevant field may substitute when accompanied by a minimum of 3 years of experience performing similar functions and at least 1 year of experience performing a position associated to a project-support role.

  • High School or equivalent (GED) when accompanied by a minimum of 5 years of experience performing similar functions and at least 3 years of experience performing a previous coordinator role.

Competencies (Skills)

  • Business Process Understanding: Demonstrates comprehensive knowledge of Corporate Security workflows, enabling correct handling of access procedures, administrative requirements, and operational tasks.

  • Confidentiality and Professional Integrity: Maintains discretion, tact, and diplomacy while managing sensitive information and executing daily activities involving personnel and security data.

  • Operational Coordination: Collaborates effectively with Corporate Security staff and administrative teams to support seamless execution of visitor management, scheduling, and administrative tasks.

  • ProblemSolving: Identifies issues, analyzes relevant facts, and supports timely resolution of complexities related to visitor requests and personnel onboarding and offboarding.

  • Attention to Detail & Communication Skills: Applies meticulous review and verification of records, documentation, and visitor‑related information to ensure accuracy in all security and administrative processes, while being fully bilingual in Spanish and English.
