Recognized internationally for our exceptional inventory and commitment to quality, we offer clients more than remarkable objects – we provide extraordinary experiences and stories that transcend generations.

Our galleries are luxury destinations where beauty, history, and impeccable service converge. With a team of passionate professionals and a discerning global clientele, we operate at the highest level of the luxury marketplace. Every piece we curate tells a story – and so does every person who helps bring those stories to life.

Now Hiring: Part-Time Sales Coordinator

The Sales Coordinator plays an important role in supporting the sales, client-service, and event activities of our Aspen Gallery. This position provides administrative, transactional, and operational assistance to the Aspen sales team while helping ensure that client records, sales documentation, inventory information, and gallery activities are handled accurately and professionally. This role also supports the planning and execution of gallery exhibitions, client functions, partnerships, and other special events. This is an excellent opportunity for an organized, detail-oriented professional who enjoys working in a dynamic luxury environment and takes pride in delivering polished service behind the scenes and directly to clients.

Your Role Will Include

  • Provide administrative and transactional support to the Aspen sales team, including preparing client materials, processing payments, drafting invoices, and assisting with client correspondence.
  • Maintain accurate client, sales, inventory, and Salesforce records.
  • Coordinate with other departments to support client requests, sales transactions, inventory movement, shipping, and receiving.
  • Provide polished, responsive, and discreet assistance to gallery clients and guests.
  • Assist with jewelry presentation, gallery merchandising, item cards, and sales supplies.
  • Support the planning and execution of gallery events, exhibitions, client functions, and community partnerships, including preparation, setup, vendor coordination, and breakdown.
  • Help improve the organization and efficiency of sales-support and gallery processes.

  • At least one year of experience in sales support, administration, hospitality, luxury retail, client service, event support, or a comparable professional environment.
  • Proficiency with Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Availability to work approximately three days per week, including weekends, holidays, early mornings, or evenings when business and event needs require.

Preferred Qualifications

  • Associate’s or bachelor’s degree.
  • Experience using Salesforce or a comparable customer relationship management system.
  • Experience in fine art, antiques, jewelry, luxury retail, hospitality, or a gallery environment.
  • Experience supporting client events, exhibitions, or other special events.
  • Coursework or demonstrated interest in art history.

The Successful Candidate Will Bring

  • Strong organization, attention to detail, and reliable follow-through.
  • Professional communication and polished client-service skills.
  • The ability to manage multiple priorities in a fast-paced environment.
  • Sound judgment, discretion, and respect for confidential information.
  • A collaborative, adaptable approach and willingness to support both sales and gallery events.

  • The anticipated hourly compensation range is $23.00 to $34.00 per hour. The starting rate will be determined based on relevant experience, qualifications, skills, and internal compensation considerations.
  • Eligible to participate in the Company’s quarterly and annual bonus programs.
  • The position is expected to work approximately three (3) days per week. Workdays will be scheduled based on gallery coverage and business needs and may rotate throughout the year. The schedule may include weekends and holidays, particularly during the peak summer and winter seasons. Occasional evening hours may be required to support gallery events, client appointments, deliveries, and other business activities.
  • Occasional local travel may be required to client residences, vendor locations, event sites, or other business locations.
