Maintenance Clerk — Job Description - RETENTION BONUS
A Maintenance Clerk provides administrative and clerical support to a maintenance or facilities department. The role typically involves tracking work orders, maintaining records, coordinating maintenance requests, ordering supplies, and communicating with maintenance staff, vendors, and other departments.
Key Responsibilities
- Receive, document, and prioritize maintenance requests and work orders.
- Enter and update maintenance information in computer systems or databases.
- Schedule maintenance and repair work with technicians, contractors, and vendors.
- Maintain records of completed work, equipment, inspections, and repairs.
- Track inventory of maintenance supplies, tools, and equipment.
- Prepare purchase orders and assist with ordering parts and supplies.
- Answer phones, emails, and inquiries related to maintenance issues.
- Follow up on outstanding work orders and service requests.
- Prepare reports, spreadsheets, invoices, and other administrative documents.
- Maintain organized paper and electronic filing systems.
- Assist the maintenance manager or supervisor with administrative tasks.
- Ensure maintenance records and documentation are accurate and up to date.
Physical/Work Requirements
The position may require occasional walking through facilities, lifting or moving light supplies, and working around maintenance areas. Most of the work is administrative and may be performed in an office or maintenance department.
Requirements
- High school diploma or equivalent.
- Previous clerical, administrative, maintenance, or facilities experience preferred.
- Basic computer skills, including Microsoft Word and Excel.
- Good organizational and record-keeping skills.
- Strong communication and customer-service skills.
- Ability to prioritize multiple requests and meet deadlines.
- Attention to detail and accuracy.
