Summary
The Biomedical Equipment Support Coordinator provides support to the Biomedical Services Department. Requires a high level of organization, communication skills attention to detail and the ability to multi-task. Responsible for coordinating medical equipment service contracts between department managers, legal services and vendors to complete contract purchases and renewals. Provides office management duties to include customer service, billing, ordering, work order distribution, word processing, database and contract management.Job Description
Manages the Biomedical Services Departments work order flow to ensure timely service is provided and assigned correctly. Requests and manages Biomeds purchase orders to ensure the accuracy of invoices and documentation of parts and service events in Biomed CMMS. Receives incoming calls to department phone lines in order to make sure customer needs are met. Coordinates recalls/alerts for the Biomed program to ensure accreditation compliance. Oversees all other Biomed invoices and credit memos to ensure payments are assigned a PO and associated with a specific service event or part. Order miscellaneous supplies for biomedical services department to ensure availability as needed. Coordinates the Biomedical Services Department calendar and on call schedule to keep a constant continuity of service coverage. Assists with the coordination and documentation at department meetings. Participates in department process improvement to ensure lean operations. Assists with database integrity review and corrections to ensure accuracy of all inventoried medical equipment. Tracks, evaluates, renews, cancels and documents the departments contracts with input from biomedical leadership to ensure service needs are being met. Provides a point of contact for vendor relations through Vendormate. Supports medical equipment planning by providing assistance during the project lifecycle including design, development, construction, equipment layouts, project administration, procurement, installation, and closeout. Reviews and meets ongoing competency requirements of the role to maintain the skills, knowledge and abilities to perform, within scope, role specific functions.Qualifications
High School Diploma or equivalent is required. Associates or Bachelor’s degree in business, accounting, health science, paralegal, biomedical, architecture, project management, finance or other related field is preferred.Must have four years’ experience in a business or clinical office setting. Demonstrated knowledge of computer, database and word processing software. Experience working with legal contracts and purchasing agreements is preferred. Experience in project management, healthcare technology, or direct clinical knowledge is beneficial.
