Title: Process Management Assistant
Location: Belgrade
Position Summary
The Process Management Assistant supports process improvement, automation, and operational excellence initiatives across the organization. This role provides project coordination, stakeholder communication, process documentation, reporting, and administrative support to ensure the successful execution of business initiatives and continuous improvement efforts.
Working closely with leadership, business stakeholders, and cross-functional teams, the Process Management Assistant helps drive organizational efficiency by supporting process analysis, maintaining project visibility, coordinating activities, and ensuring timely delivery of key objectives.
Key Areas of Responsibility
- Support process improvement and automation initiatives by coordinating activities, tracking progress, and ensuring alignment with business objectives.
- Coordinate meetings, workshops, and stakeholder communications to facilitate collaboration and effective decision-making.
- Assist in documenting, analyzing, and optimizing business processes across multiple teams and functions.
- Prepare and maintain process documentation, reports, presentations, and project-related materials.
- Monitor project milestones, action items, risks, and deliverables to support successful project execution.
- Collect, organize, and analyze operational data to support process reviews and business recommendations.
- Assist with process mapping, requirements gathering, and validation activities with business stakeholders and subject matter experts.
- Prepare status updates, management reports, and executive presentations to provide visibility into key initiatives and outcomes.
- Manage administrative and operational activities that support leadership priorities, team coordination, and organizational effectiveness.
- Utilize project management and collaboration tools, including Jira and Microsoft 365, to track initiatives, documentation, and action items.
- Identify opportunities to improve efficiency, standardization, and overall business performance through continuous improvement initiatives.
Basic Qualifications
- Bachelor’s degree in Business Administration, Management, Engineering, Information Systems, or a related field.
- Minimum 2 years of experience in process management, project coordination, business operations, administrative support, or a related role.
- Experience with process documentation, process mapping, and workflow analysis.
- Proficiency in Microsoft Office 365 applications, including Excel, PowerPoint, Word, and Teams.
- Experience using project management and collaboration tools such as Jira or similar platforms.
- Strong communication, organizational, and stakeholder management skills.
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
Preferred Qualifications
- Master’s degree in Business Administration, Project Management, Operations Management, or a related field.
- Certifications in Lean, Six Sigma, Business Process Management (BPM), Project Management, or Agile methodologies.
- Experience with process modeling tools such as Adonis or similar BPM platforms.
- Experience supporting process improvement, automation, or digital transformation initiatives.
- Advanced reporting, data analysis, and presentation development skills.
- Experience working in a cross-functional or multinational business environment.
