Description
Overview
An award-winning educational architecture practice is seeking an Accounting & Administrative Assistant to support its Walnut Creek office. This opportunity brings together accounting support, consultant agreement coordination, and day-to-day office administration within a collaborative professional team.
Position Description
The Accounting & Administrative Assistant will work closely with the Accounting Specialist and Chief Financial Officer to support accurate accounting records, client billing, document preparation, and office operations. Consultant agreement work will initially follow established procedures, apply prior corrections, check accuracy and completeness, and flag discrepancies for clarification. Independent review responsibilities will grow according to relevant experience, familiarity with AIA agreements, and demonstrated proficiency.
This position is primarily on-site in Walnut Creek because of its file access and administrative coverage responsibilities. Occasional work from home may be considered with approval when assigned duties can be completed remotely, office coverage is maintained, and physical files remain in the office. A regular remote day is not guaranteed.
The preliminary compensation range is $25–$31 per hour, depending on qualifications and relevant prior experience. The upper end requires stronger experience and greater independence in handling assigned responsibilities.
Responsibilities
-
Support accounting data entry and maintain accurate records.
-
Assist with client billing and related documentation.

Skills & Requirements
-
Prior accounting and administrative experience; at least two years in an architecture, engineering, or construction firm is preferred.
-
Experience supporting client billing, accounting data entry, and document preparation.
-
Strong attention to detail and ability to identify inconsistencies in documents.
-
Ability to learn and retain procedures, apply feedback consistently, and exercise sound judgment.

Strong organization, follow-through, and written communication skills.
