Job Description Summary
The Faculty Operations Manager manages the day-to-day operations of H.R. MacMillan and the Food, Nutrition and Health building, and for operational and health and safety support to the UBC Farm, the Dairy Education and Research Centre in Agassiz, and the Food and Beverage Innovation Centre. Responsibilities include property management and physical resource maintenance of all the infrastructure and associated landscaping including renovations, moves and capital projects; development and implementation of operational policies, procedures and protocols that will ensure optimum utilization of research, teaching and administrative space; management of operational budgets, strategizing long-term capital acquisitions and taking on a leadership role in communicating events and projects that will impact academic, research and administrative business for not only the Faculty of Land and Food Systems but other building occupants such as Landscape Architecture and Integrated Engineering.
Organizational Status
Reports to the Director, HR & Administration and consults with the Associate Director, Finance. Works closely with the various building occupants, faculty, staff, students and liaises with Building Operations, Campus & Community Planning, Project Services, Safety & Risk Services, Campus Security and external vendors/service providers. This position supervises 3 non-union technicians and the FNH Building Manager.
Work Performed
· Manages the Faculty’s building and facilities operations on a day-to-day basis in an efficient and smooth manner, acting as the key point person in the coordination of work with both outside consultants and internal units as well as being the primary communicator of any events or projects which may affect the teaching, research or administrative business within the Faculty.
· Takes on a leadership role in ensuring that the infrastructure of the Faculty is protected by monitoring the condition of the H.R. MacMillan, the Food, Nutrition and Health buildings and any temporary building units and initiates appropriate action to improve deficiencies and provides support and guidance to UBC Farm, the Dairy Education and Research Centre and the Food and Beverage Innovation Centre.
· Works with research groups or stakeholders to determine all needs and requirements in all Faculty facilities pertaining to renovations, services and logistics and oversees work order requests/trouble calls, authorizing construction and installation of equipment pertaining to research, teaching and other faculty activities and initiatives.
· Develops and implements policies and procedures appropriate to the allocation, property management and physical resource maintenance of all Faculty properties and facilities and provides input into administrative policies for example, room bookings and operational management of research facilities.
· Responds to and resolves all levels of facility related problems, ranging from critical/emergency situations to ensuring proper acquisition practices, maintenance and upkeep of equipment. Assigns duties to reports or outside sources as appropriate.
· Makes recommendations for long term planning of the various facilities such as budgeting for replacement/repair of growth chambers, fume hoods as well as the Faculty vehicles. This includes researching options, obtaining quotes, service agreements and ensuring proper paperwork is on file.
· As the Co-Chair of the MCML Space Committee and liaison to the other space committees within the Faculty, this position is responsible for the efficient allocation of space within the Faculty’s facilities. Planning, managing and budgeting for renovations and moves, including classrooms, offices, meeting rooms, complex laboratory facilities and the student run cafe, while ensuring full accountability of funds and goods/services and adherence to all health, safety and security policies.
· Manages and approves MCML building access permission for all occupants and makes critical decisions regarding on-line access authorizations for faculty, staff, students and other users of Faculty facilities. Acts as back up for approving access for other Faculty buildings and is the back up for security/alarm issues when the FNH Building Manager is unavailable.
· Uses tact and discretion in dealing with external contractors/vendors and internal operational units such as Building Operations, Parking and Security, Risk Management and Chemical Stores to ensure that the Faculty is getting the service it requires. This also includes difficult and tense situations where there may be interpersonal conflict or an expectation to inform individuals or a group to change a course of action.
· Oversees the Faculty Safety Program and ensures that all other buildings in the Land and Food Systems precinct comply with the safety rules and regulations as required by the University. Chairs regular MCML safety meetings, liaises with other health & safety committees for each of our sites and submits reports to the Dean’s Office and Safety and Risk Services group (SRS).
· Permanent member of the Faculty Joint Health and Safety Committee (JOHSC) and Faculty representative at the UBC Safety Advisors meeting organized by UBC SRS. Manages the Faculty Disaster response plan in collaboration with external units (SRS, Campus Security, RCMP and Fire Department), ensuring compliance.
· Acts as Chief Fire Warden for all Faculty buildings and facilities, appoints floor wardens, coordinates and conducts Workplace Hazardous Material Information System (WHMIS) as required by WorkSafe BC.
· Provides back up support to the Education/Research Support Technician, who manages the maintenance of Faculty vehicles and develops vehicle usage policies and procedures, the Faculty Purchasing & Safety Technician, who facilitates the purchasing of equipment and supplies for the various units and labs and the FNH Building Manager, who manages the FNH facilities.
· Coordinates materials and equipment for special events.
· Performs other duties as necessary.
Consequence of Error/Judgement
Effective planning and management of Faculty resources is critical to the success of the Faculty of Land and Food Systems and its ability to deliver its programs. Failure to anticipate change and/or develop a resource plan could have a detrimental impact on Faculty operations, leading to increased operational costs or decreased academic productivity. Failure to perform work accurately, efficiently and conscientiously could lead to unsafe working conditions and physical harm to building occupants and users. Unprofessional conduct could lead to the loss of reputation for the Programs, the Faculty and the University.
Supervision Received
Works independently, identifying opportunities and resolving situations as they arise. Reports to the Director, HR & Administration and works in consultation with the Associate Director Finance for major decisions and the day-to-day operations as necessary.
Supervision Given
Directly supervises 3 operational/technical support staff and the FNH Building Manager and oversees student workers, technicians and professional consultants and contractors.
Minimum Qualifications
· Undergraduate degree in a relevant discipline.
· Minimum of four years’ experience or equivalent combination in education and experience in facilities management and maintenance coordination.

Preferred Qualifications
· Journeyperson Certification in an appropriate trade or completion of a technical institute program in building technology, project management or space planning is preferred.
· Experience in facilities management and maintenance coordination with extensive experience and knowledge of wet/dry labs, their infrastructure and operations.
· Demonstrated knowledge of lab equipment and instrumentation, including operation and repair.
· UBC experience is an asset with knowledge of UBC policies and procedures and familiarity with Building Operations and Health, Safety and Environment.
· Strong verbal and written communication skills.
· Effective interpersonal, conflict resolution and supervisory skills.
· Strong multi-tasking and prioritization skills with effective time-management and organizational skills.
· Ability to deal with several concurrent complex tasks with shifting priorities while working under pressure to meet deadlines.
