Job Summary:
The Parts Specialist supports the Parts Manager in managing the procurement, organization,
and distribution of HVAC parts and materials for the installation of equipment in new
residential homes. This role ensures efficient inventory operations, timely delivery of parts to
job sites, and accurate record-keeping to minimize project delays and maintain cost-effective
operations in the residential construction sector.
Essential Duties/Responsibilities*:
- Assist in managing the inventory of HVAC components, such as filters, thermostats,
ductwork, and condensers, ensuring parts are readily available for installation projects. - Process purchase orders for parts and materials, coordinating with approved suppliers
under the direction of the Parts Manager. - Receive, inspect, and store incoming parts deliveries, verifying quality and quantity against
purchase orders and ensuring proper storage in the warehouse. - Prepare and distribute parts to HVAC technicians and job sites, ensuring accurate
fulfillment of requisitions to meet project schedules. - Maintain accurate inventory records using inventory management software, updating stock
levels and documenting parts usage for residential projects. - Conduct regular cycle counts and assist with inventory audits to ensure stock accuracy and
report discrepancies to the Parts Manager. - Handle returns, warranty claims, and defective parts processes with suppliers, ensuring
timely resolution and minimal impact on project timelines. - Support the Parts Manager in analyzing parts usage data to identify trends and recommend
restocking or cost-saving strategies. - Communicate with HVAC technicians and project managers to confirm parts requirements
and address any issues related to parts availability. - Other duties as assigned.
MEASUREMENTS OF PERFORMANCE
- Parts availability, achieving 100% fulfillment rate for job site requisitions without delays.
- Inventory accuracy, with cycle count discrepancies not exceeding 3% of total stock.
- Timeliness of parts distribution, ensuring 100% of standard orders are prepared and
delivered to job sites on time. - Accuracy in purchase order processing, with zero errors in order documentation and
supplier coordination. - Compliance with safety and storage protocols, maintaining a 100% incident-free record in
warehouse operations. - Responsiveness to technician and project manager inquiries, resolving 90% of parts-related
issues within 24 hours.
Minimum Requirements:
- High school diploma or equivalent
- Proficiency in Microsoft Office tools for data entry and reporting.
- Knowledge of HVAC parts and components to ensure accurate identification and handling.
- Strong organizational skills to manage inventory and prioritize tasks in a fast-paced
environment. - Attention to detail for verifying parts quality, quantities, and inventory records.
- Effective communication skills to coordinate with suppliers, technicians, and the Parts
Manager. - Ability to lift and handle parts safely, adhering to warehouse safety protocols.
- Experience with HVAC equipment and components, including familiarity with industry standard parts and specifications, is highly desirable.
- Proven ability to work under supervision and collaborate with a team in a project-based
environment. - Basic understanding of procurement processes and inventory control practices
Physical Requirements:
- Must be able to lift/move up to 20 pounds frequently
- Frequently performs tasks requiring bending at the waist, kneeling or crouching
- Must be able to adhere to long periods of standing, walking or sitting
- Ability to hear, understand and distinguish speech and/or other sounds to operate phones or other office equipment safely.
- With natural or corrected vision, able to see and focus for close, distance, peripheral vision with normal depth perception
- Ability to express or exchange ideas by means of the spoken word to impart oral information to others
- Ability to enter text or data into a computer by means of a traditional keyboard or 10-key numeric keypad
- Must be able to use arms and hands to reach overhead, signal, grab, hold, lift, turn, push and pull objects and tools
