Mattapan Health & Rehabilitation Center and West Roxbury Health & Rehabilitation Center are seeking a kind, collaborative, and dedicated Human Resources Coordinator to support our teams and help create an exceptional employee experience across two nearby skilled nursing and rehabilitation communities.

 

This is an opportunity for an HR professional who enjoys variety, builds strong relationships, and wants to make a visible impact. In this role, you'll provide HR support across recruitment, onboarding, employee relations, benefits, payroll administration, compliance, performance management, and employee engagement, partnering closely with facility leadership and employees throughout the entire employee lifecycle. You'll support Mattapan Health & Rehabilitation Center, an 85-bed skilled nursing and rehabilitation community, and West Roxbury Health & Rehabilitation Center, a 76-bed skilled nursing and rehabilitation community. Both communities provide Short-Term Rehabilitation and Long-Term Care, with West Roxbury also offering specialized support through hospice and respite care.

 

Together, these communities are home to interdisciplinary teams dedicated to providing personalized care that promotes resident dignity, independence, comfort, and quality of life. While your work will focus on supporting employees, you'll see the direct connection between a strong employee experience, engaged teams, and the quality of care provided to residents every day.

As Human Resources Coordinator, you'll be a key resource for employees and facility leadership. You'll help ensure that the right people are recruited, welcomed, supported, developed, and recognized throughout their time with Elderwood. Your day-to-day work will be diverse. You may be sourcing candidates and coordinating interviews one day, welcoming new employees during orientation the next, helping a staff member navigate a benefits question, partnering with a manager on an employee relations concern, or coordinating recognition and retention initiatives. You'll have the opportunity to build relationships across departments and become a trusted HR resource within both communities.

Responsibilities

What You'll Do:

Recruitment & Talent Acquisition

  • Manage recruitment activities from sourcing and interviewing through onboarding using the Applicant Tracking System.
  • Partner with facility leaders to identify staffing needs and maintain accurate, timely open-position reporting.
  • Coordinate and participate in recruitment events, open interviews, job fairs, school outreach, and other community recruitment initiatives.
  • Support the internal posting process and facility-to-facility transfer process.
  • Promote Elderwood's Employee Referral Program and accurately track referral activity and bonus payouts.
  • Help develop creative approaches to attract qualified candidates in a competitive healthcare labor market.

Onboarding & Employee Development

  • Coordinate new hire paperwork, employment documentation, and regulatory requirements.
  • Schedule and support General Orientation and deliver the HR component of new employee orientation.
  • Ensure new employees understand benefit eligibility, enrollment requirements, company policies, and available resources.
  • Initiate and track probationary and annual performance evaluations.
  • Administer 30-Day New Hire Surveys and Exit Interviews to help identify opportunities to strengthen the employee experience.

HR Administration & Compliance

  • Maintain accurate and confidential personnel records in accordance with regulatory requirements and Elderwood policies.
  • Obtain and maintain required professional licenses, certifications, CPR credentials, and other regulatory documentation.
  • Coordinate required employee health documentation and new hire physicals.
  • Ensure personnel actions—including status, location, compensation, address changes, disciplinary actions, and required acknowledgments—are properly documented.
  • Process employee terminations and maintain accurate employee rosters across required systems and databases.
  • Coordinate name badges, business cards, computer access, uniforms, and other employee resources.
  • Help ensure HR practices remain aligned with applicable state and federal regulations.

Payroll & Benefits

  • Serve as a resource for employees with questions related to benefits, payroll, timekeeping, and HR policies.
  • Maintain accurate employee information in ADP HRIS.
  • Review employee timecards in the time and attendance system for accuracy and appropriate approvals.
  • Run and interpret HR reports from ADP and other systems as needed.
  • Communicate benefit program information to eligible employees and follow up on pending enrollments.
  • Support benefit administration during onboarding and termination.
  • Help coordinate employee leave documentation and maintain compliance with FMLA and other applicable leave requirements.
  • Maintain communication with employees regarding return-to-work expectations and required documentation.

Employee Relations, Engagement & Retention

  • Serve as an accessible first point of contact for employee questions and concerns.
  • Triage employee relations matters and determine when issues should be escalated to the Administrator or Elderwood Administrative Services HR team.
  • Partner with leadership to promote consistent application of policies and procedures.
  • Support corrective action processes and maintain appropriate disciplinary documentation.
  • Help foster a positive workplace culture through employee recognition and retention initiatives, including Employee of the Month, birthdays, anniversaries, and other employee activities.
  • Participate in facility Safety Committee activities and support workplace safety initiatives.

Unemployment, Workers' Compensation & Regulatory Support

  • Respond to unemployment claims and assist with unemployment and workers' compensation hearings when necessary.
  • Compile and submit required information related to unemployment, workers' compensation, and disability claims.
  • Maintain required OSHA documentation and support regulatory reporting.
  • Ensure termination and payroll information is communicated accurately and within required timelines.

Qualifications

  • Bachelor's degree in Human Resource Administration or Business degree preferred; PHR Certification preferred.

  • Training or experience in human resources processes required.

  • Interpersonal skills in person and over the phone required Strong organizational, time management skills necessary Strong computer skills required Valid State Driver’s License and clean driving record required

  • Ability to handle personnel situations with tact, and in compliance with state and federal laws required

  • Attention to detail and accuracy with numbers required.

  • Recognition of importance of confidentiality regarding applicants and staff information required.

  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
