Overview
Reporting to the Program Manager on the International Development team, the Program Coordinator (PC) provides comprehensive and high-level writing, research, data analysis, event planning, and project coordination support to frontline gift officers on the International Development Team to advance their mission to cultivate, solicit, and steward international donors and prospects. As a valued partner to the team’s development officers, the PC develops and enhances materials for donors that are accurate, compelling, and appreciative. The PC also works with gift officers to prepare briefing materials for Yale leaders in advance of their meetings with donors and prospects.

The PC drafts a wide variety of written materials, including comprehensive individual donor briefings, gift proposals, stewardship reports, gift agreements, and internal and external correspondence that conforms to the style and voice of the sender. Additionally, the PC coordinates with development colleagues and other offices campus-wide to develop or enhance proposals and briefings summarizing Yale activities worldwide and conducts research on individuals, corporations, foundations, governments and institutions using office files, databases, and internet search engines and resources, including sources in other languages relevant for international development. 

The PC also provides high level support in data analysis, events, and internal administration. The PC designs, develops, and produces ad hoc reports and analyses by report generation and manipulation of information systems, including our primary alumni database. The PC also assists with arranging campus visits for international donors and prospects and coordinating and assisting with a range of event logistics, e.g., compiling and maintaining invitation lists, extending invitations, confirming attendance, ensuring attendance accuracy, preparing biographies for guest speakers, staffing selected events, and contacting vendors.

Other duties include ensuring the accuracy of gift acknowledgments and all information relayed to prospects; building strong relationships with staff and serves as a key contact on questions relating to various departmental needs; entering data into to the development database and ensuring accuracy of donor records; interacting with donors at the request of the Director and International Development officers in response to inquiries; and assisting with other administrative duties as assigned.

Required Skills and Abilities

1. Exceptional communication skills with special emphasis on writing ability and editing. Demonstrated research abilities. Writing sample required at time of interview.

2. Strong attention to detail, including identifying and errors in data and analyzing large volumes of information from disparate sources and synthesizing it in cogent and concise written form. 

3. Professionalism, maturity, and an ability to work with confidential information and to interact with top level donors and Yale administrators. Comfort working with foreign names/addresses. and communicating with individuals in other countries.

4. Strong organizational skills. Ability to prioritize work, multi-task, especially on projects, prospects, and proposals in different parts of the world, and meet deadlines in a team-centered, time-constrained environment. Ability to initiate and see tasks through with minimal supervision. 

5. Advanced knowledge of MS Word, Excel, database software and reporting, and the ability to conduct data analysis. Knowledge of PowerPoint and Adobe Acrobat. 


Preferred Skills and Abilities

1. Experience with development work

2. Familiarity with Yale.

3. Global orientation, experience working across countries and regions, and proficiency in more than one language.

4. Experience using Adobe InDesign.

Principal Responsibilities

Compiles and maintains invitation lists, extend invitations, confirms attendance, ensures attendance accuracy, prepares biography for guest speakers, prepares Event Flow documents, staffs selected events, and contacts vendors. 4. Conducts research on individuals, corporations, foundations, governments and institutions using office files, databases and internet search engines and resources, including sources in other languages when relevant for international development. 5. Drafts a wide variety of written materials including detailed biographical and business briefings, correspondence, proposals, endowed gift agreements and stewardship reports. 6. Designs, develops and produces ad hoc reports and analyses by report generation and manipulation of information systems, including our primary Alumni database. 7. Researches and investigates gift commitments using office files and databases. Ensures the accuracy of gift acknowledgments and all information relayed to prospects. 8. Builds strong relationships with staff and serves as a key contact on questions relating to various departmental needs. 9. Interacts with donors at the request of director and/or gift officers in response to inquiries. 10. Assists with the assignment of tasks to student workers. 11. May perform other duties as assigned. Required Education and Experience Eight years of related experience, six of them in the same job family at the next lower level and a high school level education; or six years of related experience and an Associate's Degree; or two years of related work experience and a Bachelor's Degree; or an equivalent combination of experience and education.
