Job Description:

Join Job Duck as an Intake Specialist and play a key role in creating a positive first impression for prospective clients. In this position, you will serve as a central point of contact, gathering important information, coordinating appointments, and ensuring client records are accurately maintained. Your ability to communicate effectively, stay organized, and show empathy in client interactions will directly support the firm's daily operations and client experience. This role is ideal for someone who enjoys helping others, thrives in a structured environment, and can confidently manage multiple priorities while maintaining attention to detail.

• Monthly Compensation Range: $1,150 to $1,220 USD.

Responsibilities include, but are not limited to:

  • Prepare and send fee agreements.
  • Send reminders to clients regarding appointments and consultations.
  • Manage CRM records, including opening and closing files.
  • Answer incoming phone calls and communicate with prospective and existing clients.
  • Promote and explain consultation services to prospective clients.
  • Schedule appointments and manage attorney calendars.
  • Input and maintain accurate client information in the system.
  • Open matters in the case management system.
  • Determine appointment types and gather client information before consultations.
  • Review intake information and supporting documentation before meetings.
  • Organize legal documents.
  • Collect consultation fees and payments.

Requirements:

Required Skills:

•Minimum of 1 year of experience in a client-facing role, such as customer service or sales.
•Advanced/native-level English skills (both written and spoken)

• Experience working in legal client-facing environments is preferred.

• Experience managing calendars and scheduling appointments.

• Ability to handle sensitive client information with professionalism and discretion.

• Strong organizational and multitasking skills.

• Comfortable working with case management systems and CRM platforms.

• Strong interpersonal and relationship-building abilities.

• Attention to detail.

• Sensitivity and patience when interacting with clients.

• Responsible and dependable work ethic.

• Proactive approach to problem solving.

• Collaborative and easy-to-work-with attitude.

Work Shift:

8:30 AM - 5:30 PM [EST][EDT] (United States of America)
