Assistant Facility Manager – JLL

What this job involves:

The Assistant Facility Manager (AFM) serves as a key collaborative partner within the infrastructure/Operations Team, delivering world-class operational service to the Belk account. In this pivotal role, you'll provide dedicated support to the Facility Manager while serving as the primary Planner/Scheduler for maintenance activities across 100+ retail locations in your assigned region. This position combines strategic planning, vendor coordination, and hands-on operational support to ensure seamless facility operations and first-class customer experiences. You'll work independently with minimal day-to-day supervision, orchestrating maintenance workflows, managing work order systems, and serving as a critical liaison between service providers, the FM team, and client stakeholders. If you're a highly organized communicator with strong facility management acumen and the ability to balance multiple priorities in a fast-paced retail environment, this role offers an excellent opportunity to make meaningful impact on a large-scale operation.

What your day-to-day will look like:

  • Review and prioritize incoming work requests, create and manage work orders in Corrigo CMMS, and ensure all activities are properly planned, estimated, and scheduled for optimal resource utilization across 100+ locations
  • Conduct daily work order reviews to monitor performance metrics, verify completion notes are accurately documented, route discretionary spend requests appropriately, and escalate unresolved issues to maintain superior customer experience
  • Coordinate with service providers, contractors, and vendors to schedule maintenance activities within approved downtime windows, ensuring all operational safety requirements and client needs are met efficiently
  • Lead monthly conference calls with Business Partners to review vendor performance, discuss account updates, address issues, share safety moments, and provide training as needed
  • Assist the Facility Manager in monitoring and achieving site KPIs and SLAs, analyzing customer feedback, developing corrective action plans, and implementing continuous quality improvement practices
  • Generate and deliver monthly/quarterly reports, discretionary spend summaries, and preventative maintenance program updates to support data-driven business decisions and transparent client communication
  • Serve as secondary point of contact for after-hours and weekend emergency support on a rotating schedule, working closely with the 24/7 call center to ensure rapid response to critical facility needs

Required Qualifications:

  • Proven experience in Facility Management with hands-on knowledge of CMMS/Work Order applications (preferably Corrigo or similar platforms)
  • Strong administrative and organizational skills with demonstrated ability to work independently without direct day-to-day supervision in a multi-site environment
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) with ability to create reports and analyze data
  • Excellent written and verbal communication skills with proven ability to interact professionally with clients, vendors, and internal stakeholders in a service-delivery environment
  • Understanding of Capital and Expense financial planning, budget management, and vendor management practices
  • Critical thinking abilities with strategic planning skills to prioritize competing demands and develop effective solutions in dynamic retail operations
  • Willingness and availability to work flexible hours, including after-hours and weekend emergency support on a rotating schedule

Preferred Qualifications:

  • Project Management experience or certification (PMP, CAPM, or similar credentials)
  • Ability to read and interpret building, plumbing, and mechanical drawings
  • Knowledge of building automation systems, preventative maintenance programs, and life safety systems (HVAC, chilled water, emergency generators, fire safety)
  • Experience conducting building audits and facility assessments in retail or commercial environments
  • Demonstrated leadership skills with ability to influence and coordinate cross-functional teams
  • Previous experience supporting multiple geographic regions or distributed facility portfolios
  • Familiarity with retail operations and understanding of minimal business disruption requirements during maintenance activities
