Description

The City of Jersey City seeks a qualified, dynamic, and motivated Record Support Technician 1 for the Division of Quality of Life. The ideal candidate, under close supervision, provides discovery, records, investigative research, and case-support services to the Office of the Municipal Prosecutor. The position is responsible for coordinating and processing discovery requests; obtaining, organizing, maintaining, and disseminating records; conducting property, ownership, business-entity, and public-record research; assisting with multi-department enforcement and Taskforce operations; preparing written memoranda and research summaries; and providing administrative and investigative support for municipal prosecution and enforcement matters.
  • Prepares, transmit, track, receive, organize, and maintain discovery requests and responsive materials from municipal departments, Divisions, Inspectors, law enforcement agencies, and other governmental entities. 
  • Performs specialized records-support functions involving the obtaining, receiving, processing, filing, maintaining, disseminating, and releasing of law enforcement and related records in accordance with applicable policies and procedures. 
  • Coordinates with municipal departments, agencies, Inspectors, and other appropriate parties to obtain discovery materials, records, reports, photographs, video evidence, documents, and other information required for prosecutorial review. 
  • Discusses with Assistant Prosecutors regarding discovery requests, outstanding materials, deficiencies, case status, deadlines, and other discovery-related matters. 
  • Reviews, organize, label, maintain, and process discovery materials within appropriate case-management, evidence-management, and document-management systems. 
  • Uploads materials and support documentation to designated case-management or electronic information systems and verify that materials are properly associated with the appropriate case or matter. 
  • Maintains accurate discovery records, logs, and tracking systems and monitor outstanding requests to ensure timely follow-up and completion. 
  • Ensure discovery materials are accurately organized, identified, maintained, and accessible to authorized personnel. 
  • Conducts property, ownership, business-entity, LLC, and public-record research utilizing authorized databases, government records, and investigative research resources. Research and compile information concerning property ownership, responsible parties, corporate entities, addresses, related businesses, and other information relevant to municipal enforcement and prosecution matters. 
  • Documents information that may subsequently be utilized in enforcement actions, prosecutorial review, court proceedings, or testimony. 
  • Maintains the confidentiality and integrity of discovery materials, investigative information, law enforcement records, personally identifiable information, and other sensitive records in accordance with applicable laws, policies, and procedures. 
  • Performs other discovery records-support, investigative, administrative, and case-support duties as assigned.
Required Educational Background: Bachelor’s degree in business management and/or a related field. 
Preferred Experience: Two years of Clerical or Administrative experience. 
  • Strong organizational, records-management, and time-management skills. 
  • Knowledge of office methods, procedures, policies, guidelines, and equipment used to review, process, classify, organize, store, retrieve, maintain, and file records. 
  • Proficiency with Microsoft Office applications. 
  • Proficiency with, or the ability to learn, LexisNexis or similar authorized investigative and public-record research platforms.
