Role description:
The main responsibility of a Billing Specialist is to accurately prepare and submit client invoices in accordance with contract terms and to meet corporate mailing deadlines. Invoices are submitted to our clients by mail, e-mail or client portal site. Additionally, the Billing Specialist is responsible for reviewing and submitting Oracle contracts within the accounting system and verifying the data is in compliance with the contract billing terms.
Role accountabilities:
Additional duties/requirements may include:
- Work with Project teams to prepare and send client invoices. This includes standard Oracle invoices as well as custom client formats based on billing requirements within the client contract.
- Compile backup (timecards, subcontractor invoices, expense reports, misc. AP costs, etc.) to accompany invoice as required within the client contract.
- For clients requiring multiple billers the Billing Specialist are given lead billing responsibilities. Example: Update client rate table, client team calls and billing contact for the client team.
- Deliver courteous, prompt, respectful and value-added customer service to internal and external clients.
- Monitor and manage invoices for your assigned workload on the Invoice status report.
- Attach final invoice packages on the AR line in Oracle.
- Verify receipt of contracts in Contacts Storage System (CLS) and record if the status should be classified as interim or final.
- Add contract specific invoice requirements to the Deliverables tab in Oracle.
- Interface with Cash Receipts and Accounts Payable departments, as needed.
- Monitor validation reports for project set up issues and make necessary adjustments weekly.
- Complete monthly task checklist.
- Upload final client invoices to client portals.
- Work well under pressure, must be able to adhere to strict Finance/Client deadlines.
- Assist with FRC - Internal Audit and client Audit requests, as needed.
- Escalate invoicing and accounting issues to management.
Qualifications & Experience:
- Minimum of 5 years of business experience in Finance with a focus in billing
- Bachelor’s Degree or professional work experience
- Strong organizational skills
- Strong written and verbal communication skills.
- Proficient in Excel and Word.
- Able to work independently, as well as in a team setting.
- Self-motivated.
- High sense of urgency and ability to meet deadlines.
- Excellent accuracy and attention to detail.
- Ability to multi-task, work well under pressure, flexible, and ability to prioritize.
