Job Description:
We're looking for a Client Relations Coordinator that has Executive Assistant and Receptionist experience. The employee is the firm's first point of contact and is responsible for creating the warmest, most responsive, and most professional experience possible for prospects and clients; setting the stage for the attorney to close engagements and ensuring a smooth, organized handoff as prospects become clients. Accurate, timely data entry across the firm's systems is core to the role, as the firm's marketing, growth, and operational initiatives rely on the integrity of that information.
Schedule: Monday to Friday 09:00AM to 06:00PM PST (Pacific Time)
Monthly Compensation: 1,060 to 1,150 USD
Responsibilities include, but are not limited to:
- Answer all incoming phone calls and route them appropriately to team members
- Manage scheduling for the attorney across the client journey and with referral partners; anticipate scheduling needs and maintain accurate, well-organized calendars
- Support the Director of Client Services and broader team with administrative tasks as needed
- Schedule networking events (Provisors registrations and Troikas)
- Follow up with Google Ads leads and prospective clients who were not scheduled during initial contact; identify the matter type and either schedule the prospect or route them to the appropriate team member
- Maintain accurate and up-to-date client records in Lawmatics, the firm's CRM
- Return all voicemails in a timely manner so no caller is left without a response
- Manage the attorney's email inbox via Missive; organize and route received documents appropriately to support the workflow
- Maintain organized lead records in Lawmatics and ensure consistent, timely outreach
Requirements:
- More than 1 year of experience of Executive Assistant, Customer Service or Administrative roles
- Previous experience working at a law firm preferred but not mandatory
- Experience communicating with clients, leads, and referral partners in a warm, professional manner
- Follow all firm systems, processes, and checklists consistently
- Operate independently and with accountability in a fully remote environment
- Demonstrate attention to detail
