The Recreation Systems Administrator serves as the department's primary administrator and subject matter expert for the RecTrac recreation management system. This position is responsible for configuring, maintaining, and optimizing the system to support recreation programming, facility reservations, memberships, registrations, point-of-sale transactions, and reporting. The incumbent provides technical assistance and hands-on training to Recreation Center Supervisors and staff, develops standardized business processes, and serves as the liaison between Recreation staff, Information Technology, and the software vendor to ensure efficient and consistent system operations.
System Administration
- Serve as the primary administrator for the RecTrac recreation management system.
- Configure and maintain programs, classes, memberships, facilities, reservations, fees, user permissions, and system settings.
- Monitor system performance and recommend enhancements to improve efficiency and customer service.
- Ensure data accuracy and integrity throughout the system.
- Coordinate software upgrades, testing, and implementation of new functionality.
Technical Support
- Provide first-level technical support for Recreation Center Supervisors and Recreation staff.
- Troubleshoot system issues and coordinate with the software vendor and the City's Information Technology team to resolve technical problems.
- Document recurring issues and develop long-term solutions.
Training & Development
- Develop and implement a comprehensive training program for Recreation Center Supervisors and staff.
- Create user manuals, standard operating procedures (SOPs), quick-reference guides, and instructional materials.
- Conduct classroom, virtual, and one-on-one training sessions.
- Evaluate staff proficiency and provide ongoing coaching to improve system utilization.
Business Process Improvement
- Analyze recreation business processes and recommend improvements using RecTrac functionality.
- Standardize registration, reservations, cashiering, reporting, and customer service procedures across all recreation centers.
- Ensure consistent application of department policies and procedures.
Reporting & Analytics
- Develop reports and dashboards to monitor registrations, memberships, facility utilization, program participation, revenue, and other operational metrics.
- Provide data analysis to Recreation leadership to support operational and strategic decision-making.
- Assist with budget development and performance reporting.
Customer Service Support
- Assist Recreation staff in resolving customer registration, reservation, membership, and payment issues.
- Support implementation of online registration and customer self-service initiatives.
Project Management
- Lead implementation of new RecTrac modules and system enhancements.
- Coordinate testing and rollout of new features.
- Manage special projects related to recreation technology and business operations.
Collaboration
- Serve as the liaison between Recreation, Information Technology, Finance, and the software vendor.
- Collaborate with department leadership to identify opportunities to leverage technology for improved service delivery
- Bachelor's degree in Information Systems, Recreation Administration, Business Administration, Public Administration, or a related field.
- Three to five years of experience administering recreation management software or comparable enterprise business systems.
- Experience providing software training and end-user support.
- Experience in municipal government or parks and recreation operations is preferred

This is a Temporary Administrative Special Services (TASS) position.
This Appointment Term is based on availability of grant funds.
The continuation of this role depends on the availability of ongoing funding.
Employment beyond the current grant period is not guaranteed and will be based on the renewal of funding.
KNOWLEDGE, SKILLS AND ABILITY
- Thorough knowledge of recreation management software (RecTrac preferred).
- Knowledge of recreation programming and facility reservation operations.
- Strong analytical and problem-solving skills.
- Ability to translate technical concepts into user-friendly instruction.
- Excellent communication and customer service skills.
- Experience developing training materials and delivering adult learning programs.
- Advanced reporting and data analysis skills.
- Strong organizational and project management abilities.
- This job may involve lifting tables, chairs and other objects needed to properly execute the event.
- The employee generally engages in light physical activity to work in the field with person to person contact and some stationary work in an office environment.
- The employee is expected to move about to accomplish tasks. Must be able to lift, push, pull, and carry up to (60) pounds.
- Work is performed within a recreation center or municipal park including playgrounds, swimming pools, gymnasiums and other city facilities and outside areas.
- Work is performed indoors and outdoors with exposure to all seasonal conditions.
This position would become the department's RecTrac "super user," trainer, business analyst, and systems administrator, ensuring every recreation center uses the system consistently and maximizing the City's investment in the software.
