ABOUT THE ROLE
As our Scheduling Officer, you will support day-to-day operations by coordinating sales orders, deliveries and promotional activity from order entry through to warehouse execution.
Reporting to the Customer Logistics Manager, this role will suit someone who is organised, detail-focused and comfortable working in a fast-paced logistics environment. You will work closely with Sales, Finance, Operations and Warehouse teams to help keep customer orders moving smoothly and accurately.
KEY RESPONSIBILITIES
Sales orders and order flow
- Process daily sales orders for basic and promotional activities
- Create deliveries and shipments to support customer delivery windows
- Communicate incoming order details, incomplete orders and system errors to relevant teams
- Manage and clean up old sales orders, discrepancies and reservation orders
- Create and manage orders using Excel upload functionality
Delivery and warehouse scheduling
- Process and communicate the daily delivery monitor report
- Release work to the warehouse and schedule workflow across departments
- Monitor delivery errors, RF Monitor workload, pre-dated deliveries and replenishments
- Liaise with warehouse teams on urgent deliveries, inventory needs and delivery issues
- Support pick difference reporting and inventory adjustments with guidance from the Inventory Controller
Promotional activity and administration
- Maintain the shared promotional tracking spreadsheet and support monthly promotional activity commitments
- Process promotional transactions and add material functions as required
- Liaise with the Sales Promotions Administrator and Customer Logistics Manager on promotional activity issues
- Create and update procedures relevant to the role
- Assist with filing, archiving and other office duties as needed
ABOUT YOU
Technical Skills & Experience
- Minimum 3 years’ experience in administration, ideally supporting warehouse operations through scheduling, resource planning, and workload coordination
- Strong analytical and numerical mindset with excellent attention to detail
- High-level keyboard and data entry skills
- Strong computer literacy, including advanced Microsoft Excel skills for workforce scheduling, workload planning, reporting, and operational analysis, together with proficiency in Outlook and other business systems
- SAP knowledge preferred
- Advanced reporting and analytical capability using Power BI an advantage
- High School Certificate or equivalent; logistics or supply chain certification desirable
