Description
The Undergraduate Office is seeking a Senior Executive/Assistant Manager to support the Lead, Student Care & Development in providing timely and caring support to undergraduate students who may be experiencing academic, personal, social or adjustment difficulties. This is a developmental role with structured exposure, coaching and on-the-job learning to build capability in student care and pastoral support.
Key Responsibilities:
Provide first-line support, information and regular follow-up to students, and escalate concerns requiring further assessment or professional intervention.
Coordinate student case follow-up, appointments, referrals and administrative support, including relevant academic support processes.
Maintain accurate, timely and confidential case records, trackers, summaries and reports.
Support academic intervention and outreach for students experiencing academic or attendance difficulties, including faculty mentoring referrals.
Support student wellbeing, transition, adjustment and integration programmes, including logistics, communications, participation tracking and feedback.
Maintain student-care data, assist with reporting and simple analysis, and support process improvement, digitalisation and student-facing resources.
Work collaboratively across the Undergraduate Office and with relevant faculty and University support units.
Role Boundary:
The incumbent is not expected to independently manage high-risk or complex cases, provide professional counselling, or make crisis-intervention decisions. Such matters are escalated to the Lead and/or appropriate University professional services.
Requirements:
Diploma or Degree in Education, Psychology, Social Sciences, Social Work, Counselling, Community Services or a related discipline; candidates from other disciplines with a strong interest in student development and pastoral care may also be considered.
1–3 years of relevant working experience would be advantageous. Relevant education, youth work, student services, social services, community engagement, internship, volunteering, mentoring or student-development experience is useful.
Empathy, patience, good listening and interpersonal skills, strong follow-up and organisation, appropriate judgement and escalation, confidentiality and discretion, and good written and verbal communication.
Proficiency in Microsoft Office; familiarity with databases, Microsoft Forms, SharePoint or similar digital tools would be advantageous.
