SUMMARY

Manages processes & teams associated with planning, directing, and This position is responsible for supporting the Inventory and Warehouse Coordinator with daily activities and job functions.

This role also supports the receipt, distribution, and inventory control of materials, parts, supplies, equipment, and tools. Serving as the primary support and designated backup to the Inventory & Warehouse Coordinator, this position works closely with the Inventory & Warehouse Coordinator, Operations Supervisor, and other staff to ensure minimum stock levels are maintained, the warehouse and workspace remain organized, and established procedures are reviewed and improved. The position is expected to uphold safe work practices and consistently provide both internal and external customers with a positive, professional experience.

Duties may vary between field operations support and warehouse/inventory operations depending on operational needs and include work at the primary warehouse, traffic signal laboratory, and other warehouse storage locations.

Major Duties & Responsibilities:

1. Complete service requests and work orders in Cityworks and assist field crews with material planning to ensure needed items are available.  Transport equipment, materials, and supplies to field locations when needed.  Load and unload materials, supplies, and equipment in preparation for the next workday. Using the established processes or systems, record all materials, parts, tools, and equipment issued to staff members and contractors.

2. Use Workday to issue requisitions and create purchase orders to order materials as needed.

3. Monitor stock levels by comparing physical on-hand inventory to electronic inventory counts and facilitate the efficient flow of materials. Notify appropriate staff when inventory reaches critical levels to support uninterrupted materials flow and avoid overstocking.

4. Maintain work records, including but not limited to service requests, work orders, maintenance forms, inventory forms, vehicle inspection forms, daily work logs, and other related documentation utilizing Cityworks and other electronic systems. Perform regular updates to electronic inventory record systems to reflect documented receiving and distribution.

5. Identify obsolete and damaged material, determine items eligible for refurbishment, maintain records of all returned items, and evaluate for damages based on established safety and compliance procedures.  

6. Receive incoming deliveries and shipments; verify and maintain receipt records; carefully compare physical quantities and products against bills of lading, packing slips, invoices, and other records.  Upon verification, sign for shipment and route the verified documentation to the appropriate staff. Report incomplete or damaged shipments prior to signing for delivery and maintain timely, open communication with Inventory & Warehouse Coordinator when shipment issues arise.

7. Coordinate the placement of received shipments to appropriate warehouse location; ensure compliance with established warehouse procedures and safety measures, such as proper locations and clearly labeled cartons and boxes; maintain warehouse walkways and the surrounding yard areas free and clear of debris; maintain shelves in accordance with safety protocols so that materials do not overhang or overload shelf capacity. Perform routine housekeeping and cleanup of warehouse and yard areas to maintain a safe, clean, and organized work environment. Properly handle and store all materials, equipment, and supplies in accordance with established procedures and regulations.

8. Issue work orders to appropriate team members to maintain inventory levels and restock warehouse materials such as traffic signal heads, pedestrian signals, video detectors, variable message signs, observation cameras, and communication cables as needed. Also assemble these items as needed.

9. Perform warehouse and inventory functions at the primary warehouse, traffic signal laboratory, and other warehouse storage locations as needed.    

10. Perform related work as required.

Minimum Qualifications:

  • High School Diploma or GED Equivalent
  • Warehouse experience (inventory control, warehouse procedures)
  • General computer use (including Microsoft Word, Outlook, Teams)
  • Valid Driver License
  • Ability to obtain a city driving permit

Preferred Qualifications:

  • Valid Class A CDL
  • Experience in one or more of the following areas: Forklift; inventory control; warehouse procedures; electrical wiring and components; transportation operations; transportation related materials and supplies; Cityworks; Workday; general computer use including email, calendar, and word processing; experience with work hazards and safety precautions such as PPE, MSDS, and OSHA regulations.
  • Experience related to overhead traffic signals, signs, wires, control cables, and pedestrian signals.
  • Forklift operator certification or be able to obtain such certification within 6 months of hire.

Knowledge, Skills, and Abilities:

  • Ability to read, write, and follow oral and written instructions, including technical procedures and work orders.
  • Knowledge of traffic control devices and systems, including methods, materials, tools, and standard practices used in installation, operation, and maintenance.
  • Knowledge of MUTCD, NEMA, and NEC standards applicable to traffic signal systems and electrical work.
  • Ability to operate and safely use specialized tools and equipment.
  • Ability to perform physically demanding labor for extended periods in varying and sometimes adverse weather conditions.
  • Knowledge of safety practices and OSHA regulations, including proper use of personal protective equipment and safe handling of tools, equipment, and hazardous materials.
  • Knowledge of warehouse and inventory control procedures, including receiving, issuing, stocking, ordering, and maintaining accurate physical and electronic inventory records.
  • Ability to maintain accurate records, perform basic arithmetic calculations, and ensure proper documentation and data integrity.
  • Proficiency in computer systems and software used for work management and recordkeeping, including Microsoft Office (Outlook, Excel, Word) and systems such as Cityworks, Workday, and Kronos, with ability to learn new systems as needed.
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain accurate and confidential records.
  • Ability to communicate effectively both verbally and in writing and work independently or as part of a team in a professional manner.
  • Strong customer service skills with the ability to interact professionally with coworkers, supervisors, contractors, and the public.
  • Ability to understand and comply with departmental policies, procedures, and regulations, and adapt to changing operational needs.
  • Ability to demonstrate accountability, sound judgment, and problem-solving skills in both routine and emergency situations.
  • Knowledge of electrical principles and skilled experience in the installation, maintenance, and repair of traffic signal systems, including overhead signals, pedestrian signals, communication cables, and related equipment.

CONDITIONS OF EMPLOYMENT
