Description

The Coordinator, Private Dining & Events is responsible for planning, coordinating, and executing private dining experiences and Food & Beverage events with meticulous attention to detail. This role ensures seamless communication between guests, colleagues, culinary teams, and operational departments, delivering personalized, anticipatory service that exceeds Forbes Travel Guide luxury standards. 

DUTIES & RESPONSIBILITIES: 

Event & Dining Coordination 

  • Coordinate private dining and large-party events (10+ guests), including menus, Restaurant Location, timelines, and guest preferences. 

  • Field and manage all large-party dining requests for the Cooper and Crossing. 

  • Collaborate with the Restaurant General Manager, culinary, and restaurant teams to plan and execute events, ensuring flawless execution and exceptional guest experiences. 

  • Create, maintain, and distribute Banquet Event Orders (BEOs) and Restaurant Event Orders (REOs); ensure all event details are accurately communicated to operational teams. 

  • Build and maintain Culinary and Bartender Prep Sheets from templates for Chef de Cuisine/Sous Chef review. 

  • Maintain the Master BEO Book, update BEOs from change logs, and distribute pop-up BEOs to departments within 48 hours. 

  • Update the Large Party Dining Calendar with event dates, REO details, and schedule changes as needed. 

  • Maintain guest history and event notes to support personalized service and anticipatory planning. 

 

Restaurant & Operational Support 

  • Accurately prepare, present, and post restaurant and yacht fleet checks, and maintain the At Cost/In-House Sheet for reporting accuracy. 

  • Print and distribute daily and weekly reports to support operational oversight. 

  • Build preliminary schedules and initiate schedule changes based on upcoming events or group requests. 

 

Guest Communication & Team Collaboration 

  • Communicate professionally with guests and members via phone and email, providing updates, confirmations, and recommendations. 

  • Assist Crossing Restaurant during high-volume periods and for special events as needed. 

  • Attend staff and departmental meetings, updating agendas, status reports, and facility updates as required. 

  • Serve as a liaison between guests, members, and operational teams, ensuring all departments have the necessary information to deliver exceptional service. 

  • Maintain a professional and organized work environment while upholding departmental standards of service and operational excellence. 

 

REQUIRED SKILLS & EXPERIENCE: 

  • Must have at least one year of experience in luxury hospitality, event coordination, or restaurant operations; previous banquets experience preferred. 

  • High School Diploma required; Bachelor's degree in Hospitality, Event Management, or relevant field preferred. 

  • Strong organizational, communication, and multitasking skills in a fast-paced environment. 

  • Ability to deliver personalized, anticipatory service with attention to detail and discretion. 

  • Proficiency in Microsoft Office; experience with Opera, Resy, Delphi, or Amadeus preferred. 

  • Positive attitude, reliable, professional, and with a collaborative mindset. 

  • Must be able to resolve problems, handle conflict, and make effective decisions under pressure. 

  • Creative and passionate about customer service. 

  • Read and understand BEOs, communicate effectively in oral and written form. 

  • Work cohesively as part of a team with or without supervision. 

  • Anticipate and focus attention on guest needs, being professional and welcoming. 

  • Ability to use Microsoft Office Products (Word, Excel, Outlook). Must be able to work any shift assigned, such as holidays, weekends, mornings, afternoons, and evenings. 

PHYSICAL REQUIREMENTS:

  • Must be able to lift equipment, supplies, etc., of at least 30 pounds. 

  • The role may require extended periods on your feet, especially during peak hotel hours or events. 

  • Ability to sit or stand for extended periods, use computers, phones, and standard office equipment. 

  • Clear vision is required for reading reports, analyzing data, and overseeing activities. 

  • Good hearing is necessary for effective communication with colleagues, guests, and stakeholders. 

  • Must be able to communicate clearly and maintain focus in a busy, high-touch environment.
