Based in London, the Legal Operations Assistant will process new matter information, conduct conflicts and corporate research, analyse potential issues, maintain related compliance documentation, and support the resolution and escalation of conflicts under the direction of the Legal Operations team. The role involves regular collaboration with colleagues across the company’s international offices.
The successful candidate will have strong analytical and communication skills, exceptional attention to detail, and relevant experience in a legal, compliance or professional-services environment.
Responsibilities:
- Process incoming potential new matter conflict check request forms, including gathering necessary information and identifying inconsistencies or incomplete information
- Communicate with managing directors and staff regarding any missing information from the Conflict Check Request Form
- Conduct comprehensive conflict checks for new and existing clients, including developing search strategy terms and analysing search results to identify potential conflicts of interest based on client information and case details
- Verify that all conflicts searching is complete, consistent, and accurate and that all firm conflicts procedures have been followed
- Review and evaluate conflict search results and assess the nature and severity of conflicts, escalating potential conflicts to senior management as needed
- Track compliance documentation, including engagement letters, conflict waivers, outside counsel guidelines, billing guidelines, and nondisclosure agreements.
- Maintain confidentiality of sensitive client information and adhere to ethical and regulatory guidelines
- Audit closed searches and opportunities to ensure consistency
- Support Legal and Operations team in ongoing improvements to conflicts and intake processes, including corporate documentation
- Support Legal Operations department with project requests as assigned
Requirements:
- Relevant education, training or professional experience in a legal, compliance or professional-services environment. A degree or paralegal qualification is desirable but not essential.
- One to two years of relevant experience in conflicts, business acceptance, risk and compliance, client onboarding, legal operations, or as a paralegal or legal assistant within a law firm or other professional-services environment.
- This position must have excellent data entry skills and possess the ability to work in a fast-paced, demanding environment
- Experience writing and communicating in a business environment to present information in a concise and meaningful manner
- Proficiency in legal research and database management
- Proficiency in legal terminology and principles
- Proficiency with InTapp (or similar) conflicts and intake products preferred
- Proficiency in Microsoft Excel required
- Excellent analytical skills and attention to detail
- Excellent verbal and written business communication skills, with demonstrated ability to exercise good judgment and make sound decisions while maintaining a client service-oriented manner
- Ability to apply critical thinking in evaluating different conflicts scenarios or outcomes, and be adaptable to changes in the procedures or direction
- Attention to detail and a proven ability to prioritise and multitask, with the ability to work under pressure and meet deadlines in a fast-paced environment while maintaining high-level work product
- Ability to identify data integrity issues and resolve them appropriately
- Ability to work independently and collaborate with cross-functional teams
