Your New Role...
The Training & Operations Coordinator at CrewHQ is a multifunctional role, managing delivery of CrewHQ’s training portfolio, leading the business support activities within the division, and the day-to-day operational services of the facility.
This role oversees the planning, development, and execution of CrewHQ’s annual and bespoke training initiatives, ensuring alignment with production requirements and industry standards.
The position is also responsible for managing departmental financial processes, vendor relationships, and operational systems to ensure efficient and high-quality service delivery. Managing the financial workflow across multiple programmes and events, monitoring payment of invoices, tracking spend and auditing trainee recharges. Raising and processing Sargent Disk employee timesheets and contracts to export for payroll. Onboarding suppliers, processing non-employee expenses and ensuring timely preparation of purchase orders.
Your Role Accountabilities...
- Lead the planning, scheduling, and delivery of CrewHQ’s year-round training.
- Oversee bespoke production-specific training, ensuring alignment with production needs and compliance requirements.
- Manage relationships with production teams to deliver mandatory training (e.g., Health & Safety, PSP, Fire Marshall, Mark Milsome Foundation).
- Develop and implement future training strategy, including new department-specific modules and external trainer sourcing.
- Manage and track training budgets and supporting accurate forecasting.
- Oversee departmental purchasing processes, including purchase orders, invoice coding, vendor setup, and reconciliation.
- Monitor payroll processes and recharges for ad-hoc crew and training providers.
- Sourcing trainers and developing course content in relation to training feedback.
- Manage third-party training providers, including contracting, onboarding, and performance oversight.
- Drive improvements to CrewHQ systems, processes, and reporting frameworks to enhance efficiency and service quality.
- Supervise and support the CrewHQ Administration Assistant, providing direction and oversight of daily tasks.
- Act as the primary point of contact for internal and external enquiries, ensuring a professional and responsive service.
Qualifications & Experiences...
- Proven experience of supervising and supporting teams within fast-paced, high-pressure environments.
- Strong operational understanding of production workflows within the UK film and HETV industry.
- Advanced proficiency in administration systems and operational processes.
- Strong financial and numerical aptitude, with excellent attention to detail and process oversight.
