Description
The Leasing Officer is responsible for generating leasing opportunities, converting qualified prospects into tenants, and supporting the end-to-end leasing process to achieve occupancy and revenue targets. The role handles lead generation, property viewings, tenant engagement, leasing documentation, property promotion, and coordination with internal teams to ensure a smooth leasing and move-in experience.
The position will also support relationships with brokers, corporate clients, relocation agencies, and other business partners to generate additional leasing opportunities and support tenant retention.
Key Responsibilities:
1. Leasing Sales & Lead Generation
- Generate and qualify leasing leads through online platforms, referrals, walk-in inquiries, social media, and other marketing channels.
- Respond promptly to inquiries and provide accurate information on available units, rental rates, amenities, and leasing terms.
- Conduct regular follow-ups with prospects to move leads through the leasing pipeline and maximize conversion.
- Maintain an updated database of prospects, leads, corporate accounts, and leasing activities.
- Achieve assigned leasing, occupancy, and conversion targets.
- Support the development of relationships with brokers, corporate accounts, relocation agencies, and other referral partners.
- Participate in client visits, broker meetings, networking activities, and other business development initiatives.
2. Property Viewing & Tenant Engagement
- Conduct property tours and provide complete orientation on available units, facilities, amenities, house rules, and property policies.
- Understand prospective tenants' requirements and recommend suitable units and leasing options.
- Explain lease terms, rental rates, payment requirements, move-in procedures, and other relevant policies.
- Maintain professional and responsive communication with prospective and existing tenants.
- Address basic leasing-related concerns and coordinate unresolved issues with the appropriate internal team.
3. Leasing Documentation & Processing
- Assist prospective tenants throughout the leasing process, from application and document submission through screening and contract signing.
- Prepare and process leasing quotations, contracts, forms, and other required documents.
- Ensure all required tenant documents are complete and accurate prior to endorsement for move-in.
- Coordinate with Finance, Property Management, and other relevant teams regarding billing, documentation, and tenant requirements.
- Maintain organized and updated records of leasing transactions and tenant information.
4. Property Marketing & Promotions
- Assist in preparing and posting property listings across relevant online and offline platforms.
- Ensure property advertisements contain accurate and updated information, rates, availability, and promotional offers.
- Monitor inquiries and listing performance and recommend improvements to increase lead generation.
- Support property open houses, leasing events, promotional activities, and other occupancy initiatives.
5. Tenant Retention & Lease Renewals
- Support lease renewal activities by monitoring upcoming lease expirations and coordinating renewal offers.
- Assist in preparing and endorsing renewal proposals at least 30 days before lease expiration.
- Maintain regular communication with existing tenants to identify concerns, renewal opportunities, and potential referrals.
- Conduct periodic relationship check-ins with existing tenants to support retention and tenant satisfaction.
6. Move-in & Cross-functional Coordination
- Coordinate with Property Management and Maintenance teams to ensure units are ready for scheduled move-in.
- Support unit turnover readiness and ensure units are prepared 24–48 hours before scheduled move-in, whenever applicable.
- Ensure tenants receive proper orientation on move-in procedures, house rules, and property guidelines.
- Coordinate with Finance, Property Management, and Maintenance to facilitate a smooth tenant move-in and resolve leasing-related concerns.
7. Market Monitoring & Reporting
- Monitor competitor properties, rental rates, promotions, occupancy levels, and market trends.
- Provide basic market feedback and recommendations to support leasing and promotional strategies.
- Prepare regular reports on leads, viewings, conversions, occupancy, renewals, and other leasing activities.
- Ensure accurate and timely updating of leasing trackers and systems.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, Real Estate Management, Hospitality Management, or a related field.
- At least 1 year of experience in leasing, property management, real estate, sales, business development, hospitality, or customer service is preferred.
- Fresh graduates with strong communication skills and demonstrated sales aptitude may also be considered.
- Strong verbal and written communication skills.
- Customer-oriented with good interpersonal and relationship-building skills.
- Strong sales and negotiation skills with a results-oriented mindset.
- Able to confidently conduct property presentations and client meetings.
- Organized and detail-oriented, with the ability to manage multiple prospects and leasing transactions.
- Proficient in Microsoft Office and Google Workspace; experience with CRM or property management systems is an advantage.
- Willing to work on weekends, holidays, or flexible schedules based on operational requirements.
